Job Description
- Lead the preparation of high-quality responses to RFPs, RFIs, RFQs, and related solicitations across government and commercial markets
- Coordinate with sales, product, technical, legal, marketing, and executive teams to gather, organize, and refine content from multiple contributors
- Write, edit, and structure proposal content so it is clear, persuasive, technically accurate, and aligned with solicitation requirements
- Independently assemble proposal documents to advanced draft stage, maintaining strong control over document structure, formatting, compliance, and final production
- Use Microsoft Word at an advanced to expert level to produce polished, professional proposal documents; candidates should be approximately 8-9 out of 10 in MS Word proficiency
- Apply advanced Word capabilities, including styles, templates, formatting controls, section management, tables, headers and footers, tracked changes, document merging, and production-ready finalization
- Use Excel at an expert level to manage proposal trackers, compliance matrices, schedules, status reports, and related proposal support tools
- Leverage AI tools to automate repetitive proposal tasks, organize content, improve workflow efficiency, and assist with RFP compliance checking, while maintaining full editorial responsibility for final output
- Maintain proposal schedules, compliance matrices, activity trackers, and supporting documentation with strong attention to detail
- Ensure version control, consistency, and coordination discipline throughout the proposal lifecycle
- Contribute to continuous improvement of proposal templates, automation methods, workflow practices, and content management processes
- Support selected business development and marketing activities during periods of lower proposal volume Required Qualifications
- 5+ years of experience writing and producing large, complex technical proposals for government and commercial clients
- Strong experience supporting SaaS, software, or enterprise technology solutions, ideally in one or more of the following areas: EHS, ESG, Water, GHG, Asset Management, sustainability, compliance, or related operational systems
- Advanced to expert proficiency in Microsoft Word, with practical working strength at approximately 8-9 out of 10
- Expert knowledge of Microsoft Excel for trackers, compliance matrices, schedules, reporting, and proposal workflow support
- Demonstrated ability to coordinate effectively across multiple departments and contributors under demanding deadlines
- Strong experience with proposal compliance reviews, formatting discipline, content organization, and final document production
- Practical experience using AI-based tools for proposal automation, workflow acceleration, and requirement/compliance review
- Excellent writing, editing, grammar, formatting, and proofreading skills
- Strong organizational, project management, and multitasking abilities
- Ability to work independently while operating effectively in a highly collaborative environment Preferred Qualifications
- Experience in EHS, ESG, environmental, water, sustainability, GHG, compliance, engineering, or asset management sectors
- Experience improving proposal workflows through automation, reusable content libraries, and document production best practices
