As a member of the administrative staff, the Senior Proposal Coordinator is responsible for in-house marketing duties. These include proposal preparation, CRM database maintenance, preparation of general marketing materials, and communication and coordination with clients and subconsultants in addition to other general office duties as assigned. The position is responsible for maintaining good relationships with A/E firms and procurement offices.

Essential Functions:
Utilize Microsoft Office, Adobe Creative Suite (InDesign), Deltek Vantagepoint, CRM systems, and other industry software to support proposal and marketing efforts. Maintain CRM data, including clients, projects, resumes, opportunities, and pursuit information. Research and track RFPs, RFQs, Sources Sought, IDIQs, MATOCs, and other procurement opportunities using GovWin, eMMA, SAM.gov, and related platforms. Develop and coordinate proposals, SOQs, SF330s, technical proposals, interview presentations, task orders, and design build pursuits. Prepare proposal deliverables in InDesign, Microsoft Office, PDF, and hard copy formats. Coordinate proposal schedules, assignments, deadlines, and deliverables with technical staff and teaming partners. Write, edit, and format resumes, project descriptions, executive summaries, technical narratives, and marketing content. Coordinate with prime consultants and subconsultants to obtain required qualifications and supporting documentation. Attend pre-proposal meetings, client meetings, conferences, and networking events. Develop and maintain project sheets, capabilities statements, brochures, presentations, and award submissions. Coordinate project photography, employee headshots, and visual marketing content. Create targeted email campaigns, newsletters, and client communications. Maintain the firm's website, intranet, social media platforms, and digital marketing content. Develop interview presentations and coordinate interview preparation activities. Support business development through market research, client tracking, and pursuit planning. Ensure proposal compliance, quality control, and adherence to branding standards. Mentor junior marketing staff and assist with proposal best practices. Perform other marketing and business development duties as assigned.

Education and Experience :
(a) Required
- Associate's degree in business from College or University program. Four-plus years in Marketing or Proposal/Technical Writing. Experience in the architecture/engineering/construction industry. (b) Preferred

- Ability to direct and follow up with staff to ensure deadlines are met. Work Environment
- Most work is performed in an office environment. Regular trips to a variety of locations for meetings and observations are also required. Expected Hours
- This is a full-time position based on a 40-hour work week.
A 7AM to 9AM start time will be negotiated with your supervisor. Schedule will be coordinated with the normal Monday through Friday, 9AM to 3PM core hours. An unpaid lunch hour beginning at 11:45AM is available. Requires adjusting schedule to suit clients and working overtime as necessary to satisfactorily meet project schedules. Hybrid Work
