Job Description
Xactimate Estimate Writer and Supplements Coordinator Full-Time | On-Site | Overland Park, Kansas Position Overview We are seeking an experienced, detail-oriented Xactimate Estimate Writer and Supplements Coordinator to support our residential insurance restoration projects. In this role, you will review insurance carrier estimates, photographs, measurements, contracts, and project documentation to prepare accurate property damage estimates and supplement requests. You will work closely with sales representatives, production staff, insurance adjusters, homeowners, and third-party partners to ensure each project is properly scoped, supported, and documented. The ideal candidate is highly organized, confident using Xactimate, and capable of managing multiple insurance claims while maintaining accuracy and meeting deadlines. This is an on-site position located in Overland Park, Kansas. Primary Responsibilities Prepare detailed residential property damage estimates using Xactimate. Review insurance carrier estimates for missing, underpaid, or incorrectly calculated items. Write and submit supplements based on the documented scope of work. Revise estimates when additional damage, measurements, code requirements, or project information becomes available. Review photographs, inspection reports, measurements, contracts, material orders, invoices, and production notes. Compare carrier scopes with the work required and completed by the company. Identify legitimate differences involving labor, materials, quantities, waste, accessories, code upgrades, and project conditions. Prepare clear supporting documentation for each estimate or supplement request. Communicate with adjusters regarding estimate questions, scope differences, and requested documentation. Work with sales representatives and project managers to obtain missing information. Assist with disputes or discrepancies involving repair scope, pricing, quantities, or completed work. Track outstanding supplements, revisions, approvals, denials, and requested documents. Maintain complete and organized digital claim files. Assist with final invoices, recoverable depreciation documentation, and project closeout. Ensure estimates follow company standards, insurance estimating practices, and applicable construction requirements. Meet established turnaround times without sacrificing accuracy or documentation quality. Required Qualifications Strong proficiency in Xactimate. Previous experience writing property insurance repair estimates. Understanding of residential property damage and insurance restoration. Ability to read and interpret insurance estimates, scopes of loss, measurements, and construction documentation. Excellent attention to detail. Strong written and verbal communication skills. Ability to manage multiple files, priorities, and deadlines. Comfortable communicating professionally with insurance adjusters, contractors, sales representatives, and homeowners. Ability to identify missing information and proactively request the documentation needed to complete an estimate. Proficiency with computers, email, cloud-based file systems, and CRM software. Preferred Experience Experience in any of the following areas is strongly preferred: Residential roofing Exterior restoration Insurance supplements Property claims Construction estimating Symbility EagleView, Hover, Roofr, or similar measurement platforms Building codes Manufacturer installation requirements Insurance restoration CRM systems Google Workspace Microsoft Office What Success Looks Like A successful Estimate Writer and Supplements Coordinator will: Produce accurate and well-supported estimates. Maintain consistent estimate turnaround times. Reduce avoidable supplement denials caused by missing documentation. Identify legitimate scope and pricing discrepancies.
