As part of this mission, the Director of Sponsored Programs plays a vital role in securing and managing external funding that supports transforma onal, student-centered educa on and community-focused ini a ves. The Director oversees all aspects of pre-award and post-award administra on, ensures compliance with federal and sponsor regula ons, and collaborates closely with faculty, administrators, and community partners to advance research, service, and capacity-building projects aligned with Heritage University's valuesPRINCIPAL DUTIES AND RESPONSIBILITIES
1.Upholds the Heritage University Mission Statement. 2.Represents Heritage University, as assigned by the Vice President for Academic Affairs, in the most posi ve manner with prospec ve, former, and current students, clients, suppliers, and the community. Interacts effec vely with a diverse group of faculty, staff, students, and other stakeholders. Adapts to and uses the opera onal prac ces of Heritage University. 3.Pre-Award Administra on a.Serve as the primary campus resource for faculty and staff pursuing external funding. b.
Iden fy grants and funding opportuni es aligned with Heritage University's mission of empowering diverse and historically underserved student popula ons, including Na ve American and Hispanic communi es. c.
Provide hands-on support to project directors, faculty, and staff in developing strong proposals, including: i.
Dra ing and reviewing narra ves ii.
Preparing budgets iii.
Acquiring le ers of support iv. Confirming compliance with sponsor and ins tu onal requirements d.
Submit proposals as the University's Authorized Organiza onal Representa ve (AOR). e.
Maintain proposal templates, ins tu onal data, and standardized language reflec ng Heritage University's mission and Yakama Na on land acknowledgment. 4.Post-Award Administra on a.
Coordinate award setup and communicate terms, restric ons, and responsibili es to project directors and finance staff. b.
Monitor expenditures and budgets to ensure allowability, allocability, and compliance with federal Uniform Guidance. c. Support faculty in managing project melines, deliverables, repor ng, and sub-recipient monitoring. d.
Collaborate with Finance to prepare and submit accurate financial reports. e.
Assist in ensuring prompt programma c reports to sponsors. 5.Compliance & Risk Management a.
Interpret and ensure compliance with federal regula ons, state laws, sponsor rules, and Heritage University policies. b.
Develop and maintain sponsored programs policies and procedures tailored to Heritage University's size, structure, and community-driven mission. c.
Prepare for internal and external audits and manage correc ve ac ons. d.
Facilitate grant-related compliance training for faculty and staff (e.g., financial stewardship, conflict of interest, research integrity). 6.Ins tu onal Coordina on & Communica on a.
Build collabora ve rela onships with Finance and Administra on, Human Resources, Ins tu onal Research, and the Office of the President. b.
Provide outreach, workshops, and individual coaching to increase grant readiness among Heritage University faculty and staff. c.
Promote funding opportuni es that strengthen community partnerships, support Yakama Na on ini a ves, and improve social mobility and area where Heritage University is na onally recognized. d.
Represent Heritage University's Toppenish and Tri-Ci es loca ons to sponsors, consor a, regional partners, and other university cons tuents. 7.Repor ng & Data Management a.
Maintain accurate database of proposals, awards, compliance requirements, and as deadlines. b.
Prepare periodic reports for ins tu onal leadership highligh ng trends, successes, and capacity- building needs. c.
Support ins tu onal accredita on and strategic planning efforts by providing sponsored programs data aligned with Heritage University mission-centered metrics. KNOWLEDGE, SKILLS, ABILITIES and
QUALIFICATIONS REQUIRED
Required Qualifica ons- Bachelor's degree required, master's degree preferred.
- 3-7 years of experience in grants or sponsored programs administra on.
- Knowledge of federal agency requirements and Uniform Guidance.
- Strong skills in budget development, compliance interpreta on, and grants management.
- Excellent communica on and interpersonal skills, with cultural awareness suited to Heritage University's diverse and predominantly first-genera on student popula on. Preferred Qualifica ons
- Experience working in a minority-serving ins tu on, tribal college/university, or community-serving educa onal environment.
- Familiarity with federal, state, tribal, and founda on funding sources aligned with Heritage University's mission and regional priori es.
- Grant Professional Cer fica on (GPC) or Cer fied Research Administrator (CRA).
- Experience wri ng or managing grants that support access, equity, and community engagement. Work Environment
- Based on the Toppenish campus, located on the tradi onal lands of the Yakama People.
- Office-based work with availability to faculty and staff primarily located at the Tri-Ci es loca on.
- Occasional local and regional travel for sponsor mee ngs or professional development and to ensure comparable support for faculty and staff located in Tri-Ci es.
