Position Type Part-time Variable Schedule Position Summary Position Summary:

The Intake Assistant supports the Adult Education ( GED & Adult Basic Education) and/or ESOL (English language learner) programs in recruiting, welcoming, and serving students while demonstrating sensitivity to and understanding of community college students' diverse academic, socioeconomic, cultural, disability, and racial/ethnic background and using varying styles and approaches that reflect an understanding and acceptance of the role of culture in a diverse, multicultural workplace. The Intake Assistant assists the Intake Assessment Specialists with orientation, testing, student data collection and recordkeeping, and other events or processes that recruit and intake students into programs and support students in enrollment and progression through programming. The Intake Assistant schedule includes events that occur in a monthly or bi-monthly cycle, in varied timeframes (mornings, evenings, or Saturdays). Assistants are surveyed (usually monthly) for availability to work specific upcoming dates.

Essential Duties and Responsibilities:

These duties are intended only as examples of the various types of job duties to be performed. The following are the functions essential to performing this job: 1. Set up rooms/equipment (ex: iPads) for student intake, orientation, and testing activities. 2. Assist students with directions or guide them to event or class locations. 3. Welcome students and facilitate communication during the orientation process. 4. Conduct student interviews and make notes. 5. Facilitate completion of LACES and other program forms and documentation accurately and efficiently, using electronic devices. 6. Troubleshoot interruptions or obstacles during events; problem-solve or seek support as needed. 7. Demonstrate sensitivity in interaction with students; maintain student confidentiality; comply with all FERPA (Family and Educational Rights and Privacy Act) guidelines. 8. Facilitate student assessment using program tools (ex: oral & writing assessments). 9. Administer and proctor assessments, electronically or using paper forms. 10. Maintain test security and manage a consistent and compliant test environment. 11. Ensure student compliance with testing policies (ex: timing). 12. Follow test procedures and report any issues or irregularities. 13. Perform scoring, reporting (paperwork), and follow-up duties as trained/directed. 14. Facilitate online student surveys (example: goals, class evaluations). 15. Assist with archiving, filing, or other "office" support, as needed. 16. Attend required trainings and complete required certifications ( CASAS , etc.). 17. Fulfill other duties as assigned. Required Minimum Qualifications 1. High school diploma or GED 2. At least 1 year experience supporting learning (ex: teaching or tutoring, training, coaching, mentoring) 3. At least 1 year experience in community service or engagement (ex: volunteering, advocacy) Desired Qualifications 1. Ability to communicate fluently in and translate between English and a second language - most desired: Spanish or French 2. Reliability and proficiency in workplace basics, including accurate and timely reporting 3. Sensitivity in cross-cultural and cross-language communication 4. Strong verbal communication skills 5. Ability to interact positively with a diverse population of adults 6. Competence using email and calendar tools 7. Ability to troubleshoot and problem-solve during student events 8. Demonstrated ability to learn on the job or to be trained 9. Availability in multiple timeframes (mornings, evenings, and/or weekends) Work Schedule Schedule based on varied orientation, testing, and program needs to include mornings, evenings and Saturdays.
