$57,096-$76,960 (Annually) West Valley Cleanup Alliance is the prime contractor selected by the U.S. Department of Energy to manage the Phase 1B Deactivation & Demolition Contract at the West Valley Demonstration Project site. The site is a scenic 30-minute drive south of Buffalo, New York. In cooperation with the New York State Energy Research and Development Authority, West Valley Demonstration Project continues to decontaminate and decommission facilities at this site. JOB SUMMARY/PURPOSE OF POSITION
Coordinates records management activities such as procedure processing, directives and Records File Plan implementation, filing system for high-level waste (HLW) records, and records destruction in the Records Department. Requires knowledge of established procedures. Duties involve training new employees and preparing reports.
MINIMUM QUALIFICATIONS
Education/Experience:
High school education or the equivalent. Minimum of four (4) years of experience in records processing and/or records management activities, procedure writing, and knowledge of government records inventory, and destruction of records.
Preferred Qualifications:
Associate's degree in business management.
Other Requirements:
May guide and direct lower-level personnel directly involved with record processing, procedure processing, Records File Plan, and destruction of records. Assists and directs department records contact with setup and maintenance of file system, records procedure interpretation, Records File Plan setup and maintenance, records destruction, etc. Works under limited supervision from the Procurement & Records Manager or designee following established procedures and methods. Excellent computer skills including skills in database management & record keeping; Computer proficiency and technical aptitude in a Microsoft 365 environment including Excel. Able to exhibit a high level of confidentiality. Excellent attention to detail and strong organizational skills. Excellent written and verbal communication skills; Must have a general knowledge of company policies and procedures and applicable DOE and governmental regulations. Must be able to gather and analyze information and review for accuracy. All qualified candidates are encouraged to apply. MAJOR RESPONSIBILITIES/SCOPE OF WORK
Maintain a safe and healthful work environment by following established safe work practices and procedures; investigating and reporting identified safety concerns or situations. Adhere to standards contained in the Company "Code of Conduct," Company EEO practices, and DOE directives. Defines company-wide policies and administrative procedures by assisting in the redesign of existing procedures; coordinating document control and records handling procedures, practices, and techniques between the various functions in the department. Follows government standards by coordinating record keeping activities required by Department of Energy (DOE) Office of Civilian Radioactive Waste Management (DOE-RW-0333P) High-Level Waste Quality Assurance requirements. Follows departmental schedules by preparing and maintaining department related File Plan and coordinating the maintenance of all project records in accordance with the schedules, including those at the Federal Records Center. Assists department manager by contributing ideas in the development and layout of the project records system. Assists in development of new employees by assisting management in conducting on-site records training for department records contacts. Performs department duties by receiving, reviewing, and determining distribution, writing procedures including company-wide, departmental, and operational procedures, and recommending changes/improvements to existing procedures. Performs department activities by data entering, scanning, computer indexing, performing document control and document distribution or records management activities, and performing on-line data or records retrieval. Prepares documents for input into HPRM and issues/releases documents, reviews, and retrieves records under strict deadlines. Supports records related activities for the EEOICPA program, FOIA/PA, or other related programs for records requests. Adheres to and maintains the confidentiality of information/records as required to not disclose such information. Maintains security policies by performing the destruction of records, as needed. Assists new personnel and other workers by instructing in equipment utilizations, procedures, etc. of the department. Distributes work throughout the department by receiving and assigning cognizant responsibility. Maintains historical records by compiling weekly, monthly, and other reports as required. Maintains electronic media for controlled documents using appropriate computer software. Regular in person attendance is required.
