Job Description
Job Summary We are seeking a dedicated and highly organized Town Clerk to serve as the vital administrative hub of our local government. The Town Clerk plays a crucial role in managing official records, ensuring compliance with legal and regulatory standards, and facilitating transparent communication between government officials and the community. This position offers an exciting opportunity to contribute to effective local governance by overseeing document management, archival processes, and information governance initiatives. The ideal candidate will possess strong organizational skills, attention to detail, and a passion for maintaining accurate records that support the community's needs. Duties Manage and maintain all official town records , ensuring accuracy, security, and easy retrieval. Oversee archival processing in accordance with archival standards and best practices, including digitization efforts to modernize record storage. Ensure adherence to information governance policies, including data security protocols, confidentiality standards, and legal compliance requirements. Coordinate filing systems—both physical and electronic—maintaining organized records that support administrative functions, legal proceedings, and public inquiries. Conduct proofreading and quality checks on official documents to ensure accuracy before dissemination or filing. Facilitate records management activities such as classification, retention scheduling, destruction policies, and archival preservation efforts. Assist with the digitization of paper records to enhance accessibility and streamline information management processes. Provide administrative support for town meetings, public notices, licensing procedures, and other civic functions related to municipal governance. Requirements Proven experience in administrative roles with a focus on records management or document control within a government or corporate setting.. Excellent organizational skills with the ability to manage multiple priorities efficiently while maintaining attention to detail. Experience with information security protocols to safeguard sensitive data and ensure regulatory compliance. Knowledge of digitization techniques and archival standards necessary for modern records preservation efforts. Proficiency in proofreading official documents for accuracy and clarity before publication or filing. Ability to adapt quickly to new technologies related to content management systems and electronic filing solutions. Strong communication skills combined with a proactive approach to problem-solving within a team environment.
