SUMMARY/SCOPE
The primary responsibility of this position is to assist in the management of the track program including assisting with coaching athletes who specialize in cross-country and track & field events. The assistant will also help with recruitment of qualified prospective student-athletes, travel planning, and other daily projects as assigned by the Head Coach. HSU is a member of NCAA Division III and the American Southwest Conference. This is a full-time staff position.
HSU JOB FAMILY CLASSIFICATION INCLUDES THE FOLLOWING
ESSENTIAL
DUTIES AND RESPONSIBILITIES
This Assistant Coach assists with Cross-Country during the fall semester and leads distance/hurdles in the spring semester and for the year-round in-door track season.
Cross-Country Season Responsibilities:
Assist the Head Coach in implementing the cross-country training plan; run assigned practice groups and workouts. Supervise daily training, monitor athlete workload and health, and report concerns to the Head Coach.
Assist with meet-day operations:
warm-up management, course walks, split calling, post-race review. Support home meet execution, course setup and marking, timing coordination, volunteer assignments, hospitality, teardown. Manage entries, declarations, and results submission as assigned. Maintain training logs, attendance records, and athlete monitoring data for the
Head Coach Track & Field Season Responsibilities:
Coach the distance (800m-10,000m) and hurdle (100H/110H, 400H) event groups for indoor and outdoor. Write and deliver training within the program's macrocycle, with individual technical instruction and video review. Set and track performance benchmarks for assigned athletes; coach those groups at all competitions. Coordinate with sports medicine and strength & conditioning on load management and return-to-play.
Year-Round Responsibilities:
Recruiting Identify, evaluate, and recruit distance and hurdle prospects; maintain contact through campus visit and enrollment. Keep an accurate recruiting board, contact history, academic profile, marks, funnel stage, and report status to the Head Coach on a set schedule. Represent the University at high school meets, clinics, and showcases; coordinate campus visit itineraries and follow-up. Partner with Admissions and Financial Aid to move prospects through enrollment. Travel and logistics Plan assigned trips: itinerary, lodging, meals, ground transportation, departure/return schedules. Serve as a certified University driver; supervise student-athletes in travel and enforce travel policy. Submit travel requests and expense reports accurately and on deadline; operate within assigned budget lines. Academic support and retention Monitor academic progress, attendance, and eligibility; coordinate study hall and tutoring referrals. Hold regular one-on-one check-ins; identify at-risk athletes early and escalate to the Head Coach and campus resources. Administrative and compliance Comply with all NCAA D-III, ASC, and University rules; complete required compliance education. Report known or suspected violations immediately to the Head Coach and Compliance. Maintain accurate rosters and eligibility documentation; assist with equipment and uniform inventory. Participate in departmental meetings, fundraising, community service, and camps/clinics as assigned. Perform other duties as assigned by the Head Coach or Director of Athletics.

LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

COMPUTER SKILLS
To perform this job successfully, an individual should have knowledge of Word Processing software; Spreadsheet software; Human Resources systems, Contact Management systems, Internet software; and Synergy editing system.
EDUCATION/EXPERIENCE
Bachelor's degree from four-year college or university required. Prior track coaching or playing experience at the high school and/or college level is required. Prior recruiting experience with evaluation, relationship building, and recruitment of student-athletes is required. Must have proficient computer skills, strong work ethic and effective communication skills. Must also have excellent organizational skills as candidates will be required to provide examples of their ability to plan and organize. The above requirements will be validated through the written competencies provided by the applicant in addition to the interview process and reference checks regarding past employment experience, etc.
CERTIFICATES, LICENSES, REGISTRATIONS
Current CPR, AED, and First Aid certifications required (or must be obtained).

Extensive travel required, including overnight and multi-day trips during track season and for recruiting. Evenings, weekends and non-standard work hours required during competitive season.
ADDITIONAL INFORMATION
This is a Full-Time, Exempt Level Staff Position which often requires extended hours beyond a 40-hour work week, especially during competitive season and while recruiting Frequent overnight travel is required, including evenings and weekends, especially during track season. Occasionally holiday work is also required depending on meet/practice schedule. Additional travel may be required on occasion to attend training workshops. Must have and maintain a valid Class C Driver's License and maintain a clear driving record to be insurable under the university liability policy. Must be able to drive to complete work assignments on and off campus, as needed.
