Job Description

Provides key administrative support to the Clinical Education Office for COMP and COMP-Northwest (transitioning to its new name, the Heatherington College of Osteopathic Medicine (HCOM)). Effectively manages course information and schedules, maintains confidential student information, and assists with the coordination and facilitation of the curriculum. Knowledge, Skills and Abilities Individuals must possess the knowledge, as well as the following skills and abilities or be able to perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
Skills:
Excellent computer skills necessary to set up document formats in Word, Excel, PowerPoint, SharePoint, Outlook, and any other software programs required by this position. Excellent verbal and written communication skills. Ability to interact in a friendly, cooperative, and appropriate manner with administration, faculty, staff, students, and external stakeholders. Excellent problem-solving skills and the ability to strategize.
Abilities:
Excellent ability to organize and prioritize workload in order to meet necessary deadlines. Able to work in a fast-paced, time-sensitive environment. Ability to handle detail-oriented assignments and be flexible with job assignments. Ability to understand and apply technology to work processes. Ability to be flexible and adapt to last minute changes. Demonstrate a commitment to working in an organization that values and promotes humanism.
Required Qualifications Education:
AA degree and/or combined experience/education as substitute for minimum education.
Experience:
2-3 years clerical office experience.
Preferred Qualifications Education:
Bachelor's degree preferred.

4 years clerical office experience. Essential Job Duties Key Responsibilities Curriculum Implementation ISSM , 2nd and 4th
Friday Functions:
Serves as key administrative support for the Integrated Skills for the Study of Medicine (ISSM) 5 and 6 courses. Ensures all curricular content is posted to the learning management software system by specified deadlines. Tracks student progress through the ISSM courses as indicated by the syllabus and the Director of Clinical Curriculum. Interfaces with external vendors and internal partners (MedU, EPA app, etc.) to track student assignment completion. Notifies Director of Clinical Curriculum of any at-risk learners and schedules remediation events as needed. Serves as lead proctor for COMSAE exams. Attends all 2nd and 4th Friday sessions to provide staffing support. Key Responsibilities Curriculum Implementation -
Conference Week Functions:
Supports Director of Clinical Curriculum in the creation of the conference week schedule by coordinating with outside speakers and internal faculty. Develops program of events with oversight from Director of Clinical Curriculum. Enters all events into learning management software and uploads corresponding content. Creates zoom links, room reservations. Orders equipment, supplies, and food as needed for all events on both campuses. Partners with both campus Clinical Education teams to ensure adequate on-site staffing.
Key Responsibilities Assessment Functions:
Collaborates with team members on data entry and maintenance of spreadsheets and databases related to student grades. Assists as needed to create, edit, and finalize assessments, discussion board forums, and makeup/remediation materials.
Key Responsibilities Financial Functions:
Coordinates with budget representative to ensure prompt payment of contracted workers and vendors, and to purchase department supplies. Coordinates with the Director of Clinical Curriculum to identify, communicate with, collect documentation, process legal documents, and process payments for conference week guest speakers.
Key Responsibilities Report Functions:
Coordinates with team members to create, edit, and finalize reports related to curriculum activities. Assists as needed to produce appropriate reports related to student performance.
Key Responsibilities Customer Service Functions:
Monitors and responds to faculty and student emails through Outlook and the ticketing system. Coordinates with visiting instructors regarding upcoming lectures and course facilitation. Works closely with the University's Center for Disability (CDHP) to provide approved students accommodations. Key Responsibilities Attends, assists with and participates in WesternU, COMP/HCOM and department events/activities as directed. Key Responsibilities Performs other related duties and assigned or requested. The University reserves the right to add or change duties at any time. Some evenings and weekends may be required. In-person attendance is expected on dates required for student trainings, workshops, etc..
