Exempt Essential Functions This position assists with the coordination, administration, and development of Continuing Education programs and services. The Continuing Education Advising Specialist provides comprehensive support for students throughout the enrollment and program completion process and assists with program scheduling, instructor coordination, regulatory compliance, student documentation, reporting, marketing, outreach, and program operations. The Continuing Education Advising Specialist coordinates with college departments, instructors, workforce partners, community organizations, and external agencies to support the effective delivery of Continuing Education and non-credit workforce training programs. The position requires independent judgment, organization, problem-solving, and the ability to manage multiple priorities and programs simultaneously. The Continuing Education Advising Specialist will work under the general direction of the Director of Workforce Development and Continuing Education. Job Duties and Responsibilities Demonstrate excellent organizational, communication, customer service, problem-solving, and interpersonal skills. Serve as a primary point of contact for prospective and current Continuing Education students. Provide students with information regarding Continuing Education programs, admissions requirements, registration, funding opportunities, schedules, and program completion requirements. Guide students through the enrollment process from initial inquiry through program completion. Register students for Continuing Education courses and assist in resolving registration and enrollment issues. Review student admissions and enrollment documentation for completeness and compliance with applicable program requirements. Monitor incomplete student files and communicate with students regarding outstanding requirements. Maintain accurate student records and ensure compliance with college record retention requirements. Assist in the implementation and improvement of processes and procedures related to program creation, student enrollment, documentation, and program operations. Develop and organize Continuing Education schedules and assist with long-term program scheduling. Coordinate student enrollment and administrative operations for Continuing Education and workforce training programs across college locations. Coordinate instructor assignments, classroom availability, course rosters, attendance documentation, and other course logistics. Provide ongoing administrative and operational support to Continuing Education instructors. Participate in the recruitment, onboarding, and training of Continuing Education instructors. Process instructor grade sheets and ensure required course documentation is complete and properly maintained. Prepare and distribute certificates to students who successfully complete Continuing Education courses. Assist with compliance with local, state, federal, institutional, and program-specific regulations applicable to Continuing Education programs. Monitor student and course documentation to ensure compliance with applicable requirements. Assist with documentation and compliance requirements for specialized workforce programs, including healthcare and other regulated programs, as applicable. Assist with federal contracts and other external programs to ensure required documentation and compliance. Assist with curriculum development and the development and implementation of new Continuing Education programs. Assist with market analysis and research related to existing and potential Continuing Education programs. Coordinate with Admissions, Financial Aid, Registrar, Business Office, Human Resources, Information Technology, Student Services, academic departments, and other College offices as necessary to support students and program operations. Assist with developing and maintaining relationships with employers, workforce organizations, school districts, governmental agencies, correctional institutions, community organizations, and other external partners. Work with third-party organizations to increase training, funding, and educational opportunities for Continuing Education students. Participate in student recruitment, community outreach, employer engagement, and college events. Assist with the development of marketing materials and communications for Continuing Education programs. Prepare student, instructor, program, and community-partner correspondence as required. Assist with departmental reporting and maintenance of program records. Identify and assist with process improvements that increase departmental efficiency, consistency, compliance, and student service. Assist in developing and maintaining standardized procedures, forms, communication templates, and documentation systems. Maintain confidentiality and appropriately handle sensitive student, personnel, and institutional information. Assist in responding to operational issues affecting students, instructors, classes, and program delivery. Perform other duties as assigned.
Qualifications Minimum Qualifications:
Associate degree from an accredited institution or the ability to complete an associate degree within one year of hire. Demonstrated ability to communicate effectively, organize multiple priorities, maintain accurate records, work with students and the public, and use independent judgment to resolve routine operational issues.
Preferred Qualifications:
Bachelor's degree or higher. Experience in Continuing Education, workforce development, higher education, student services, program coordination, training administration, or a related environment. Knowledge of the Workforce Education Course Manual (WECM), Guidelines for Instructional Programs in Workforce Education (GIPWE), workforce training requirements, and applicable regulatory or compliance processes. Experience working with student information systems, Microsoft Office applications, financial documentation, and institutional recordkeeping systems.

Travel Requirements:
The position may require travel to other Coastal Bend College locations, third-party instructional sites, employer locations, and community events. Some outdoor, evening, or weekend work may be required in support of college programs and events.
Environment:
Work is generally performed in an office setting with frequent interruptions, changing priorities, and variations in workflow and volume. The position requires frequent interaction with students, instructors, college personnel, employers, community partners, and external agencies.
