Primary Purpose:
Provide administrative, compliance and operational support to the Special Service Department by coordinating clerical functions, maintaining accurate records, monitoring compliance timelines and assisting with state and federal reporting requirements.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Knowledge of federal and state special education laws, regulations and compliance requirements
Knowledge of special education funding framework
Knowledge of SHARS Medicaid reimbursement procedures and documentation requirements
Ability to maintain strict confidentiality of student records and sensitive district data
Strong organizational and time-management skills with ability to prioritize, meet deadlines and manage competing demands
Ability to communicate effectively
Proficient knowledge MS Office Suite (Word, Excel, etc.), and file maintenance
Effective communication, and interpersonal skills
Ability to use personal computer and software to develop spreadsheets, databases, and word documents
Experience:
At least three years of administrative level clerical support experience
Essential Job Functions:
Provide comprehensive clerical and administrative support to Special Services leadership, including the Director, Assistant Director, Coordinator, and Assessment & Related Services staff.
Manage calendars, coordinate meetings, schedule appointments, and prepare departmental correspondence, reports, and compliance documentation.
Maintain confidential student, employee, and district records in accordance with federal, state, and district regulations.
Conduct special education folder audits and maintain assessment logs to ensure data integrity and compliance with state and federal requirements.
Monitor special education evaluation timelines, ARD meeting deadlines, and required documentation to support regulatory compliance and service delivery.
Compile, analyze, and submit reports for compliance monitoring, Texas Education Agency (TEA) reviews, audits, and district leadership requests.
Organize and maintain digital and physical records related to evaluations, eligibility determinations, service documentation, and staff caseloads.
Support implementation of the Texas special education funding model by assisting with data collection, service documentation verification, and maintenance of records necessary for funding and compliance reporting.
Collaborate with Special Services staff to ensure accurate documentation of student services, supports, and instructional arrangements required under the intensity-of-service funding framework.
Assist with monitoring data quality and reporting processes to support accurate funding submissions and alignment with TEA special education funding requirements.
Serve as a primary point of contact for staff, parents, and community members regarding special education procedures, documentation requirements, and district policies.
Coordinate professional development events, staff meetings, and onboarding activities for Assessment & Related Services personnel.
Assist with SHARS Medicaid reimbursement processes, including transportation log uploads, billing compliance monitoring, documentation support, and reimbursement optimization.
Monitor SHARS submissions and related documentation to ensure timely, accurate billing and maximize reimbursement opportunities for eligible services.
