This position works within the Admissions and Records Department, is responsible for performing professional-level student services work, which requires independent evaluation and analysis of issues and judgment to select and apply standard techniques, procedures, policies, and criteria to resolve problems and make recommendations. To best serve the students, department, and college, this position is fully in-person. Essential Functions (30%) Program Coordination, Partner Admissions Logistics & Compliance Develops, analyzes, coordinates, and implements program functions and activities related to admissions and compliance. Coordinates admissions logistics with both internal and external (e.g., dual enrollment, workforce, and partner institutions) partners, ensuring consistent, timely, and standardized processing. Develops and maintains structured processes and protocols to ensure compliance with institutional policies, partnership agreements, and regulatory requirements. Reviews program requirements and eligibility criteria; evaluates policies to ensure program compliance and accurate application in daily operations. Monitors and processes National Student Clearinghouse reporting, including updating student records, correcting reporting errors, processing degree verifications, and recommending solutions to reduce reporting discrepancies. Executes and monitors suspicious account protocols; processes related documentation and tracks/reports activities to ensure compliance and risk mitigation. Researches, analyzes, and interprets policies and procedures; evaluates changes and applies them to operational practices. Tracks application, enrollment, and reporting data to identify trends, compliance risks, and opportunities for process improvement. Serves as a liaison to internal and external stakeholders, providing program, policy, and compliance advisement. (30%) Operations, Data Integrity, & Quality Assurance Coordinates, implements, and evaluates operational processes and procedures to ensure efficiency, accuracy, and compliance. Monitors data entry and processing activities to ensure data integrity; identifies issues and provides corrective guidance and training to staff. Oversees and actively participates in A and R data processing functions, including monitoring daily and annual processing metrics (e-forms, partner activity, student interactions). Ensures adherence to records retention guidelines, including proper maintenance and deletion of records in accordance with state and institutional requirements. Supports and coordinates graduation processing, including staffing coverage, policy implementation, and technical support for complex cases. Conducts surveys and analyzes program data to evaluate effectiveness and inform continuous improvement. Researches industry standards, trends, best practices, and emerging technologies; recommends and supports implementation. Designs, develops, and maintains program materials, reports, presentations, and communications to support operations and compliance. (30%) Frontline Services, Staff Coordination & Technical Support Plans, organizes, assigns, and reviews the work of staff as a lead; assists with supervision functions as assigned, including hiring coordination for part-time staff. Coordinates workflow and daily operations in partnership with division leadership; provides regular processing updates and operational guidance. Provides Tier 2 support for complex student and staff issues, including escalations, technical troubleshooting, and process clarification. Supports front-line operations, including front counter, incoming phones, records processing, transcript processing, and virtual service delivery. Provides training for Admissions and Records staff across front office, back office, and virtual environments. Assists staff and students with complex procedural and policy-related issues, including dispute resolution, de-escalation, and customer service challenges. Supports off-site and partner location needs to ensure continuity of admissions and records services. Provides technical support and troubleshooting for student information systems (SIS) and related technologies. Assists with specialized processes, including subpoenas, international student requirements, and related admissions and records functions. May serve as Designated School Official (DSO) for International Education Limited advisement and A and R function for these students is included (10%) Program Support & Additional Responsibilities Monitors grant funding opportunities, program expenditures, and regulatory requirements; supports compliance and reporting as needed. Provides athletic eligibility support in coordination with Student Life. Creates and maintains files, records, and databases in support of program operations. Participates in hiring, disciplinary, and performance management processes if assigned supervisory responsibilities. Performs other duties as assigned, commensurate with the scope and level of the position. Minimum Qualifications Bachelor's Degree from a regionally accredited institution and two (2) years of full-time equivalent student services or college teaching experience, or experience coordinating, administering, planning, or evaluating programs. OR Associate's Degree from a regionally accredited institution and four (4) years of full-time equivalent student services or college teaching experience, or experience coordinating, administering, planning, or evaluating programs. An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered Desired Qualifications Two (2) years of experience working in a team environment Two (2) years of experience working with students from varied backgrounds Two (2) years of customer service experience with a high degree of public contact including, but not limited to in-person, telephone, e-mail, text, and/or chat One (1) year working with federal and state requirements (e.g., lawful presence/residency determination) One (1) year of experience working in an educational environment providing support services in higher education One (1) year experience utilizing data analytics. (i.e., database management, evaluation techniques, data validation) One year of full-time, relevant MCCCD experience within the previous two years Special Working Conditions May be required to work at multiple sites or locations Work Schedule Varies May be required to work evenings and weekends i.e. Monday
