40 hours/week, hours TBD; 12 month calendar; Benefit eligible; Arizona State Retirement System Summary of Function To provide a healthy, safe, developmentally appropriate program, and environment for children ages birth to 5 years of age, student aides, and staff members. To maintain open lines of communication between staff, FUSD, community, family members, student aides, and children. To oversee the day-to-day functions and financial transactions of running a childcare facility. To maintain requirements of mandating agencies.
Qualifications Minimum Qualifications:
At least 21 years of age; High school diploma or GED with 60 hours of ECE training and an additional 12 hours training in program administration, planning, development or management and 24 months experience in a licensed childcare facility. Must obtain a minimum of 25 hours of ongoing professional development. Must have a current Arizona Fingerprint Clearance Card, CPR, and First Aid.
Preferred:
Associate's or Bachelor's degree in Early Childhood Education or a related field, state approved Director's credential or AAS Early Childhood Administration Degree, 1 year minimum experience in administration of an early childhood program, and a minimum of 2 years of teaching in an early child care and education classroom.
Essential Duties or Tasks:
Staffing Supervise teachers
- Ensure the teachers maintain supervision of children, develop lesson plans based on age appropriate activities, utilizing and supervising student aides assigned to the classroom, and maintaining overall health and safety in the classroom.
Screen applicants, interview, conduct background checks, file and submit new hire paperwork, compile files on staff on site, provide new staff training and orientation, ongoing supervision, guidance, disciplinary action, continuing education, and all ongoing requirements for all regulating agencies. Recruitment and advertising of all Center's positions. Write and maintain weekly staff schedules. Coordinate classroom coverage/subs. Ensures that each classroom has appropriate adult supervision and adult to child ratios required by Arizona State guidelines, Quality First guidelines, and NAC guidelines. Enforce guidelines
- Ensures that all staff, student aides, practicum students, and volunteers are meeting or exceeding the Arizona Department of Health Licensing, Quality First, NAC, and Flagstaff Unified School District guidelines.
Maintains Staff compliance records for Arizona Department of Health Licensing, Quality First, NAC, and ongoing monitoring of up to date requirements. Conduct annual staff evaluations. Provide annual staff orientation, and orientation upon hire. Provide coordination on ongoing education, facilitate annual 18 hours of staff training, and registration for Arizona Workforce Registry. Schedule required training for staff members that meet Arizona Department of Health Licensing, Quality First, and NAC. Staff trainer. Counsel and mentor to staff both professionally and personally. Ensure staff maintain individual timecards. Remains on-call to staff around the clock. Facilitate monthly staff meetings, and quarterly staff training. Student Aide, Secondary Education Practicum Students, and Student Teachers Review and train student aides on policy and procedures with each student before they enter into the program. Keep signed student aide contracts on file for each school year. Ensure each student aide, both assigned and Child Development lab students have met the minimum requirements to be in the classroom; immunizations, first aid, and CPR are current. Ensure that student aides are meeting the health and safety requirements for each of the classrooms. Collect student aide observations forms for Child Development Teacher. Maintain student attendance records. Maintain student aide's grades and attendance using FUSD Synergy
- Ensures that an accurate attendance has been taken daily, submits daily grades and reports grades to Flagstaff High School.
Attend IEP meetings. Complete evaluations for university students. Provide instruction, guidance, and mentoring university students to meet practicum requirements. Enrolled Children Maintain child records required by the Arizona Department of Health Licensing, Quality First, NAC, DES, NAU, Navajo Nation, and other regulating agencies. Health Report
- Provide the State of Arizona an annual report of all children's immunization records and health issues. Administer medication to children following DHS guidelines. Child guidance and discipline
- Provide assistance with child behavioral guidance and support the staff in the classroom when warranted, provide a break from the classroom and behavioral actions to students when needed. Observe and review child observations to help develop lesson plans with staff. Assists with the care and needs of the children as needed. Parents Parent communication
- Maintain open communication with parents regarding children and the overall running of the facility.
Link parents to community resources. Guidance and provide education to parents of child development and milestones. Assist and contribute to parent teacher conferences. Hold annual parent orientation/monthly activities (site specific) to help guide parents through the childcare process. Provide parents with a center handbook and all enrollment paperwork. Post necessary parent information and health alerts. Create monthly newsletters and updates. Maintain Center websites and online communication system (SeeSaw). Financial Billing/Collections/Budgeting
- Set up and maintain online payment system and calendar, maintain biweekly billing for tuition, deposits income at district, bills subsidy programs for tuition, collects financial obligations from individuals, maintains facility budget and attends related district budget meetings. Purchases Supplies
- Maintains purchase orders for purchasing supplies and sees that supplies have been purchased for individual classroom needs. Solicits donations. Grants
- Writes grants and supervises grant inspections, assessments, and necessary reports for all grant funding. First Things First Scholarships
- Collects and maintains necessary paperwork for child scholarships. Maintains monthly accountability reports, and provides all necessary documentation for alternation year's audits. Maintain and conduct financial transactions for the facility. Maintain all PCard records and submit required paper. Facility Maintenance
- Ensure the necessary repairs of equipment and materials that are located on facility property, maintain a safe hazard free environment that meets the requirements of all regulating agencies. Comply with all site buildings emergency drills and procedures, and coordinates with school staff and administrators. Complies and assists with all regulating agencies inspections. Open/Close
- Opens the center every business day to ensure the facility is in good maintained condition.
Closes facilities at the end of the day and ensures that all equipment and materials are stored properly. If away from the facility must be able to return to the facility within 10 minutes during opening hours. Ensures an effective and appropriate early childhood program, which supports program philosophy and policies. Ensures the program provides an age appropriate, safe, nurturing, enriching environment for children. Ensures center preparation and organization meet with center policies and procedures. Fill in for classroom teachers when necessary. Any unforeseen duties to the essentials of maintaining and running the facility. Give a tour of the facility to potential families, education representatives, etc. Paperwork Update handbooks, procedures, calendars, activity calendars, website, and enrollment paperwork. Compliance with National Accreditation, DHS, State, Quality First, Navajo Nation, DES, and NAU. Attend all pertinent FUSD trainings.
