PPMC Registrar and Alternative Programs Data Technician Poway Unified School District - 4.1 San Diego, CA Job Details Full-time $25.15 - $32.20 an hour 22 hours ago Qualifications School experience High school diploma or GED Clerical experience Full Job Description Description This position is full-time, 40 hrs/week, 12 months/ year. •The eligibility list will also be used for hiring purposes in other vacancies in the same, or equivalent, job classification (i.e. High School Registrar) that occur throughout the 26-27 school year.•PUSD Classification Salary Range (34): $25.15 - $32.20 per hour
Anticipated Hiring Salary Range:
$25.15 per hour (step 1) - $29.17 per hour (step 4) Selection Procedure Applications will be screened, and those candidates whose backgrounds best match the requirements of the position will be invited to participate in a competitive examination process, At the conclusion of testing (which may include subsequent assessments), an eligibility list will be created which will be active for a period of six (6) months (Merit Rule 50.100.1). Selection for the position will be made from among the top three (3) ranks of candidates.
BASIC FUNCTION
Under the direction of the Director, Alternative Programs, independently perform various technical and complex clerical duties related to Alternative Program enrollment, scheduling, grade reporting, and permanent records of elementary, middle and high school students according to established policies and procedures; utilize specialized automated student information software and hardware; establish, maintain and monitor student records, grades, coursework compiled, and credits earned; communicate regularly with counselors and other guidance staff, teachers, administrators, parents and students from all district schools; serve as liaison to the District's Information Technology Department; provide technical assistance related to network systems operation and Student Information Systems to District personnel; serve as liaison to Palomar Community College District (PCCD) to enroll, schedule, maintain, and monitor student permanent records for Poway to Palomar Middle College High School (PPMC) students, including grades, coursework compiled, and credits earned for graduation according to established policies and procedures. Examples of Duties Independently perform various technical and complete clerical record-keeping duties for alternative programs relating to the enrollment or withdrawal of elementary, middle, and high school students in compliance with applicable laws, codes, rules, and regulations, as well as District administrative procedures, including State education code, privacy, and archiving. Perform a variety of network support and communication duties for both Alternative Programs and PPMC related to the school master schedule, student scheduling, enrollment, registration, and grade reporting according to established policies and procedures; ensure accuracy of printed materials. Input master schedule courses into Student Information System ensuring accuracy; provide and receive information related to master schedules, course codes, and other changes as required; assist administrators, counselors, and teachers, providing information related to schedule changes, conflicts, and other related issues according to established policies and procedures; assist Alternative Programs and PPMC in changing classes, making corrections, and resolving conflicts according to established policies and procedures; print and distribute student schedules. For Alternative Programs, perform grade reporting activities; generate class audits, and correct schedules as needed; process grades according to established guidelines; initiate process to collect grades from teachers according to established policies and procedures for each grade level and accurately report those grades to each school site with a variety of different grading periods; issue electronic report cards for elementary and middle school. For PPMC, prepare and maintain permanent records, cumulative and special education files, and demographic information on past, enrolled, and incoming students; request necessary records and initiate telephone and written communication with previous schools related to student record history. For PPMC, interpret and analyze incoming student national and international transcripts and transcribe to conform with State and District requirements; enter student grades in computer to create a course history file and transcript; notify counselors of student credit deficiencies or unusual placement possibilities. For PPMC, communicate with students, parents, administrators, teachers, and staff to assure student records are current and accurate; communicate graduation deficiencies and eligibilities to appropriate administrators, parents, and counselors; communicate with a variety of District and PCCD personnel, parents, and outside agencies to exchange information, resolve issues, answer questions and coordinate activities. Compile information; print and distribute various records, reports, and lists as assigned; review documents for completeness, accuracy, and in accordance with established guidelines. For Alternative Programs, prepare pre-registration materials for elementary, middle, and high school grade levels; compile registration materials; assist in the registration of new students, verifying residency, ethnicity, birthplace, program designation, and address; process course requests and prepare schedules for new students. For PPMC, serve as the Student Information System site administrator and liaison to the District's and PCCD's Information Technology Department; notify Information Technology Department of system malfunctions as necessary; communicate with technical support representatives to resolve network and software problems. For Alternative Programs, serve as the Student Information System site administrator and liaison to the District's Information Technology Department; notify Information Technology Department of system malfunctions as necessary; communicate with technical support representatives to resolve network and software problems; provide technical assistance related to network systems operation and Student Information System to Alternative Program personnel; provide training to site personnel in using assigned network and software applications; assist Information Technology department(s) in the evaluation of software packages for school sites. Prepare and maintain a wide variety of data, records, and reports concerning student grades, schedules, technical matters, and other issues related to assigned activities; compose, prepare, and assemble materials for correspondence; develop queries to retrieve information as needed. Communicate with District, PCCD, and Alternative Program personnel, students, parents, and outside organizations to exchange information, answer questions, coordinate activities, and resolve issues or concerns according to established policies and procedures. For Alternative Programs, assist personnel with High School summer school programs; register students; set up classes, input students, print class lists, and prepare files for grading; collect and report grades; and prepare mailings according to established policies and procedures. For Alternative Programs, respond to inquiries and assist students, counselors, parents, other schools, and personnel in person, via email, or on the telephone regarding student records, student attendance, statistical information, enrollment procedures and other technical inquiries according to established policies and procedures. For PPMC, prepare enrollment, registration, and withdrawal papers, retrieve files, and print transcripts; process and forward transcripts, secondary school reports and records to colleges and other institutions from student permanent records according to established guidelines and procedures; assure compliance with deadlines and requirements to assure potential student acceptance. For PPMC, compute, record, and process grade point averages to include repeated classes and grade changes according to established policies and procedures; submit grade point averages to appropriate outside agencies; inform counselors and appropriate administrators of student progress based on changes. For PPMC, prepare accurate list of graduates' names for commencement program; order diplomas for graduation; prepare final credit deficiency list of seniors for counselors; compile list of failing grades to create the final list of diploma recipients; analyze final grades to establish annual valedictorian and salutatorian; post-graduation date on student records file; send final transcripts for graduates complying with college deadlines. For PPMC, establish junior decile rank to allow participation in ELC (Eligibility in the Local Context) Program; file transcripts with University of California ELC Office within established timeframe. For PPMC, utilize course database to prepare senior grade point averages in compliance with State guidelines; file grade point averages electronically with the California Student Aid Commission by designated deadline. Prepare and maintain a variety of records and reports including State and District reports and files according to established policies and procedures; provide CALPADS statistical data determining school dropouts and number of graduates. Assist in general clerical functions of a school office; compose letters related to assigned activities; sign appropriate forms. Operate a variety of office equipment. Attend and participate in assigned meetings, committees, in-services, and workshops. Perform related duties as they relate to this classification. Minimum Qualifications Any combination equivalent to: graduation from high school and four years of increasingly responsible clerical experience, including at least two years involving student contact in a secondary school setting and maintaining complex automated and manual records. Additional years of education or experience may be substituted to meet the minimum qualifications. This classification requires that incumbents be skilled in typing/keyboarding at a minimum of 45 words per minute. A typing test will not be given. Applicants must certify in writing that they have such skills. Demonstrated proficiency will be expected during the probationary period for the class. Supplemental Information In accordance with Personnel Commission Rules and Regulations of Classified Service # 70.200.1, new employees to Poway Unified School District will be placed at Step 1 (Minimum Salary) of the official salary range designated for the position.
