Each Academic College has worked collaboratively with one another, the SESS Action Teams, and the AVP of Student Academic Success to implement a student advising/resource center in their respective Colleges. The focus of these centers is to serve students and to increase retention and graduation rates. The introduction of the Administrative Service Center (ASC) model allows us the opportunity to provide professionally trained, student-centered, staff members, who have a visible and accessible presence to welcome students, parents, support people, and others to assist them with accurate and timely responses to their questions and concerns. The reallocation of administrative assistant positions from the departments to the ASC requires that we have three Student and Faculty Support Specialists between Gunter Hall and Ross Hall. The Student and Faculty Support Specialist's key function is to support students who contact the office with questions or concerns. These positions work collaboratively with their college-based professional advisors/coaches, faculty, SOAR advisors, learning assistance programs (e.g. Writing Center, Tutoring Center, Math Lab), Career Services, Bear Central, and other campus partners to promote improved undergraduate student outcomes. Other key functions include aiding academic units with course scheduling, curriculum workflow and accreditation/compliance record maintenance. The Student and Faculty Support Specialist will also answer inquiries received by phone and/or electronically, including checking various email accounts as needed. These positions support retention and graduation strategies presented in the Strategic Enrollment and Student Success plan, particularly with Action Team #3's integrated approach to student services.Job Duties:
15%- Student Interaction and Support Serves as the front-facing position to welcome and support students and external guests who enter the office or contact via phone, emails, etc.
- Faculty Interaction and Support Serves as the primary point of contact for faculty administrative needs.
- Office Management and Unit Support Maintains, organizes, and orders supply inventory for multiple unit offices Distributes mail and packages Plans unit events alongside Conference and Events Services with a working knowledge of univeristy policy of procedures Coordinates make-up exams for 100+ students in multiple units each year Updates and maintains physical appearance of units, including bulletin boards and display cases Updates and maintains unit websites Collaborates with units and university advancement to thank internal and external donors 10%•Accreditation/Compliance Record Maintenance Maintains accurate and confidential records of every student interaction including in-person visits, phone, and online consultations.
- Curriculum Workflow Support for NHS Units Collaborates with unit leaders and the Business Operations Manager to implement curriculum into the Curriculum Workflow system. 10%
- Course Scheduling Support for NHS Units Collaborates with unit leaders and the Business Operations Manager to input course schedules into Banner. 15%
- Supervise Student Employees Hires and trains 5-12 student employees on unit front-desk job responsibilities and office culture. Student employee reports to this person when they have questions or need to coordinate time off and work schedules. Creates detailed resource guides for student employees 5%
- Other Duties as Assigned Collaborates with the other members of the ASC and refers faculty members to the correct ASC team members and other resources on campus.
