General Statement of Duties:
The Student Services Clerk IV position will work in the Student Services office as a primary support for the functions of the office. Incumbents of positions in this series maintain files and records, answer telephones and emails, prepare and mail outgoing correspondence or parcels, provide detailed customer service to students, guests, parents, and community members and perform general office procedures that should include filing, data entry, scheduling, supporting staff, and operating standard office machines and equipment in the performance of related work and tasks. The basic purpose of this work is to provide clerical support for the Student Services division while delivering high-level customer service to our diverse student population. This position includes a significant amount of interpersonal communication via phone, email, and in-person contact.Responsibilities:
Provides direct customer service and clerical support services (phone, electronic, in-person) for Student Services, Counseling & Wellness, Basic Needs, Monty's Market, Student Life, Veterans Services, Disability Services, Student-Parent Supports, Child Watch, TRIO, Green Street Café, Media, Campus Police; Provides direct support to assist Administrative Assistant II and Clerk V with tasks needed for major events, programs, and functions of the Student Services department including Commencement, Winter Fest, and Evening of Excellence; Provides support with questions regarding immunization and medical records compliance, filing, and Banner data entry responsibilities; Provide office coverage and support; Initiate requisitions, work orders (School Dudes & Help Desk Tickets), purchase orders, travel forms, and other required forms; Collect and process confidential college documentation for students, faculty and staff; Distribute proper information to third parties in compliance with applicable laws and regulations; Provide appropriate resources, information and direction to guests/students; Greet all visitors to the office and provide assistance and referral as necessary; Schedule appointments for Student Services staff as needed; Compose, answer, and distribute correspondence and handle telephone and walk-in inquiries; Maintain records and files as needed; Perform Banner entry tasks; Supports food pantry operation; Perform other job-related duties as required or assigned by the Dean of Students and/or their designee. Minimum Qualifications:
Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.Substitutions:
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.- II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.
- III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.
- IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required experience.
- Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
