Job Description
Reporting to the Head of Lower School, the Lower School Divisional Coordinator serves as an office manager, special projects coordinator, and administrative assistant for the Head of Lower School. Versatility, multitasking, flexibility, and adaptability to changing responsibilities are skills vital to success in the role of Divisional Coordinator. The position will offer support to multiple departments throughout the School on an as-needed basis. The position requires leadership and professional maturity, discretion and professionalism in dealing with sensitive and confidential information, and experience managing operational team support in an exciting and demanding work environment.
ADMINISTRATIVE DUTIES
Provide administrative support to ensure efficient operation of the Lower School office Create and maintain the Lower school master block schedule in Veracross Build and load student schedules in student management system Answer phone calls, schedules meetings and support campus visitors Support and maintain schedule coordination for the Lower school Head Submit facility and space use requests as needed Manage daily and long-term attendance and student progress reporting Create and maintain Lower School master roster Facilitate faculty coverage and substitute teaching responsibilities Order, organize and maintain office and educational materials Support medical services as needed. Assist with the coordination of safety and security drills training and procedures; including maintaining the Lower School portion of the master reunification plan Organize and maintain all Lower school student records, both electronic and paper-based, from enrollment through the withdrawal process or promotion to Middle School. Ensure adherence to academic policies, data integrity and record retention. Process record requests from schools or parents, in compliance with school policies and state law. Manage projects as assigned, both ongoing processes as well as independent projects Manage a variety of reports utilizing proper databases, including the Google Suite and Veracross systems Troubleshoot Lower school printer/copier issues. Maintain paper supplies for Lower school. Create transportation and field trip forms. Ensure all participants are authorized to attend the trip Provide temporary coverage for front desk reception as needed.STUDENT RELATIONS
Be an example for a positive community founded on the Mission and Core Values Develop trusting and supportive relationships with students, faculty and families. Monitor and record daily student attendance, assist with the arrival and dismissal of students each day. Oversee student early dismissals and late arrivals utilizing the School Pass system; signing students in and out of school. Work with the Head of Lower School and Lower School teachers to organize and plan school activities Meet regularly and work effectively with the Head of Lower School and faculty to coordinate grade-level activities, promote open communication, and ensure consistency and alignment across the division Assist the Head of Lower School and Lower School teachers with end-of-school-year activities and programs Create promotion certificates, Lower school awards, and Class Day program Work with the school yearbook staff and Lifetouch to plan and organize Picture Day Be available to meet over the summer for pre-determined planning day(s)PARENT RELATIONS
Maintain an accessible, open-door climate for families Answer incoming phone calls and direct calls as appropriate, and assist students in contacting parents or guardians Assist with planning of Orientation to Lower School events and communication Provide a timely and sensitive bridge between families and the school to maintain cooperative working relationships Draft and distribute Lower School communication to families, as directed. Edit and format correspondence from the Head of Lower School to school to the divisional community, as requested Work with the University Liggett School Parent Association and other volunteers to communicate activities, reserved meeting times and facilitiesQualifications :
3+ years of school-related experience preferred. Be approachable by students, faculty, guests, and families Possess a congenial affect and a collaborative, team-oriented working style. Employ excellent communication skills, both written and verbal Possess a keen attention to administrative detail and complete tasks in a timely manner Maintain confidentiality while supporting school-wide administrative decisions. Possess strong interpersonal skills Ability to successfully work with various personalities Organizational skills, ability to multitask, and demonstrates initiative Professionalism Ability to maintain confidentiality Flexibility, adaptability, and willingness to support various school departments, as needed Prior experience working in a professional setting, preferably academic Strong computer skills and willingness to learn a variety of programs and systems Experience with Microsoft Office Suite and Google Suite Knowledge of working with both Apple and PC computers/devicesWork Environment:
