Position Title:
Licensure and Field Experiences Coordinator.

Work Schedule:
Academic year (mid-August through mid-June)
  • 40 hours per week; Monday-Friday, 8:00 a.m.
  • 4:30 p.m. Summer (mid-June through mid-August)
  • 20 hours per week for 8 weeks; hours must be worked between the hours of 7:30 a.m.
  • 4:30 p.m., Monday

Hourly Rate:
$21
  • $23.

Essential Job Duties:
Field Experience and Student Teaching. Collaborate with Director of Field Experiences on student teaching and field experience programs. Compile teacher requests for placements, facilitate electronic student signup for field experiences, and assist students to secure appropriate placements. Communicate with host teachers regularly to provide information and respond to questions. Enter student placements and update teacher qualifications in Student Learning and Licensure (SLL), the department's web-based assessment system. Send evaluations to host teachers and monitor completion. Liaise with The Smith Center for international student teaching placements. Collect student teaching applications through Google Classroom (GC). Enter information on school district trackers, assist students with the completion of background checks, create student teacher observation schedule for college supervisors, and post/update information on GC. Process honorarium payments for host teachers. Order gifts for host teachers and collaborate with Carleton College to organize appreciation event every spring. Student Interaction. Serve as first point of contact, both in-person and via email, with students regarding field experience and student teaching inquiries. Troubleshoot student issues with field placements, host teachers, etc. Communicate and follow up with students to complete tasks. Assessment. Manage day-to-day tracking of students in SLL and maintain current student and alumni licensure files. Annually, compile information from applicants to the Teacher Education program and notify them of application decisions. Review student progress in classes, GPAs, transition points, and content area coursework to identify and monitor students who require Individual Development Plans. Update alumni database to meet state reporting requirements. Aggregate program data for Federal Title II institutional report in addition to state accreditation program reports. Licensure. Communicate with the Registrar's Office regarding additions to student transcripts, student information system updates, and final transcript requests. Organize application materials and process initial licenses and follow up on alumni license requests. General office responsibilities. Staff the Education Department office during the summer. Assist Academic Administrative Assistant with annual calendar and other tasks, train and supervise student workers, and create and monitor email lists as needed. Assist faculty members, Department Chair, students and others as needed. Support, respect, and commit to embracing diverse backgrounds, values, and points of view to build a strong and inclusive community. Perform other duties as assigned.
Supervision Received and Exercised:
Reports to the Director of Field Experiences and Licensure. This position does not supervise anyone.
Required Qualifications:
Education:
Associate's degree or equivalent work experience, maintain a valid driver's license and meet St. Olaf College driver authorization criteria with a satisfactory driving record.
Experience:
2+ years of experience in an administrative role.

Prerequisites:
Employment in this position is conditioned upon successful completion of a background check which may include: criminal background checks, reference checks, verification of work history, verification of any required academic credentials, licenses, and/or certifications, a motor vehicle check, verification of DOT certification, a credit check, employment eligibility verification, and/or a pre-employment physical. Whether a background check is deemed successfully completed will be at the sole discretion of St. Olaf College.
