Job Description

Serve as a primary point of contact for prospective and current students by providing information and support related to Continuing Education and Curriculum admissions, enrollment, student records, and college services. Assist with admissions processing, student communications, registration activities, event coordination, and general office operations. Provide clerical, customer service, and administrative support to the Student Services division while maintaining accurate student records and ensuring effective communication with students, faculty, staff, and the public. Essential Job Functions Provide prospective and current students with general information regarding admissions, enrollment processes, academic programs, course offerings, and college services. Assist the Registrar with the receipt and processing of admissions documents including applications, transcripts, residency documentation, and other college records. Establish, maintain, and update student records in Colleague and other college systems. Assist with communications management functions related to admissions and enrollment in Colleague. Respond to telephone, email, and in-person inquiries concerning college programs, services, events, deadlines, and procedures. Refer students to appropriate departments or staff for counseling, advising, financial aid, or other specialized services. Assist with registration activities, student onboarding initiatives, recruitment events, orientation sessions, and enrollment campaigns. Prepare, process, scan, and maintain confidential student records and departmental documents. Assist with scheduling appointments, meetings, rooms, and special events for the division. Prepare correspondence, reports, spreadsheets, and other departmental documents. Assist with monitoring and updating forms, informational materials, and webpages related to Student Services and enrollment functions. Maintain office files, supplies, and equipment; coordinate maintenance and procurement requests as needed. Assist with compiling and verifying reports using Colleague, Informer, and other reporting systems. Provide clerical and administrative support to Student Services staff and division leadership. Assist with supervision and coordination of work-study students as needed. Support student engagement, outreach, and retention initiatives across the division. Perform other related duties incidental to the work described herein. Probationary Period Disclosure Satisfactory completion of a 90-day probationary period is required for continued employment. Minimum Qualifications Associate degree in Business, Office Administration, or a related field required; at least two (2) years of experience in customer service, administrative support, admissions, enrollment, or higher education support services; proficiency with Microsoft Office and other computer software; effective oral and written communication skills; and the ability to work independently and collaboratively in a fast-paced environment. Preferred Bachelor's degree in Business, Communications, or related field; 2-3 years of experience working in a community college setting; proficiency with Colleague and Informer; experience with student records management and admissions processing; strong public relations and proven effective customer service skills.
