Administrative Calendar Job Summary:
The IEP Service Coordinator serves as ASUA's primary facilitator and coordinator of the Individualized Education Program (IEP) process across assigned programs and campuses. This position is responsible for ensuring the timely coordination, preparation, facilitation, documentation, and follow-up of all IEP meetings while maintaining compliance with Pennsylvania Department of Education (PDE) regulations, IDEA requirements, and ASUA procedures. The IEP Service Coordinator acts as the lead ASUA representative during IEP meetings and works collaboratively with Education Directors, Teachers, Related Service Providers, Behavior Staff, Families, School District Representatives, and other IEP team members to ensure high-quality, compliant, and student-centered educational programming. Under the direction of the Senior Director of Special Education, this role supports the integrity of ASUA's special education systems by ensuring timelines are met, documentation is accurate, records are complete, and all required special education processes are executed with fidelity.
Qualifications:
Master's Degree in Special Education or Educational Leadership preferred. Bachelor's Degree in Special Education required, or related field required; Pennsylvania Special Education Certification preferred Demonstrated knowledge of: IDEA regulations Pennsylvania Special Education Regulations IEP development and implementation Special education timelines and compliance requirements Experience participating in and facilitating IEP meetings preferred Strong organizational, communication, and documentation skills Ability to manage multiple timelines and competing priorities Current (dated within a year) Act 34, 114, and 151 clearances
Essential Duties And Responsibilities:
IEP Meeting Coordinator Serve as the primary coordinator of all IEP meetings across assigned programs.
Schedule and coordinate:
Annual IEP meetings Initial IEP meetings IEP revisions and amendments Reevaluation meetings Transition planning meetings Ensure all required participants are invited and documentation is distributed within required timelines. Facilitate and lead IEP meetings on behalf of ASUA. Ensure meetings remain student-centered, collaborative, and compliant with procedural requirements. Coordinate and ensure that follow-up actions resulting from IEP meetings are completed prior to IEP finalization. Compliance & Timeline Management Monitor all special education timelines and deadlines.
Maintain tracking systems for:
Annual IEPs Reevaluations Executed IEP invitations Progress reporting Transition requirements Parent notifications Procedural safeguards Ensure all required documentation is completed within regulatory timelines. Notify leadership and team members of upcoming deadlines and required actions. Assist with compliance audits and corrective action processes. IEP Preparation & Documentation Review Review draft IEPs prior to meetings to ensure completeness and readiness.
Verify required components including:
Present levels Measurable annual goals Specially Designed Instruction Related services Transition planning Progress monitoring procedures All attachments are included Collaborate with educational, behavioral, and clinical team members to obtain required information. Ensure all supporting documentation is complete and available prior to meetings. Assist in maintaining consistency and quality across all IEP documentation. Document Verification & Record Management Verify accuracy of student records and special education documentation. Ensure student files remain organized, secure, and audit-ready.
Assist with the maintenance of:
IEPs Reevaluation reports Evaluation reports NOREPs Progress reports Procedural safeguard documentation Support record reviews conducted by leadership and regulatory agencies. Family & District Collaboration Serve as a primary point of contact for families regarding IEP meeting scheduling and procedural questions.
Communicate professionally and effectively with:
Parents and guardians School district representatives Educational advocates Service providers Members of a student's home team Support positive relationships between ASUA, families, and referring districts. Ensure procedural safeguards and parent rights information are provided as required. Systems Support & Continuous Improvement Support implementation of special education compliance systems established by the Senior Director of Special Education. Assist with data collection and reporting related to IEP compliance and timelines. Identify areas of concern or potential compliance risk and communicate findings to leadership. Participate in development of improved systems, procedures, and workflows related to special education processes. Leadership & Collaboration Collaborate with: Senior Director of Special Education Head of Schools Education Directors Teachers Related Service Providers Behavior and Clinical Staff Promote a culture of accountability, professionalism, and compliance. Support ASUA's mission and child-centered philosophy in all interactions and decision-making. Organizational Relationships & Supervisory Responsibilities Directly accountable to the Senior Director of Special Education. Provides coordination and oversight of IEP processes but does not directly supervise staff. Serves as the organizational lead for IEP meeting facilitation and process implementation.
Additional Duties and Responsibilities:
To read and abide by the Employee Handbook including updates and changes. To attend all mandatory meetings, including those that fall outside of regularly scheduled school hours and as described in the Employee Handbook. The IEP Services Coordinator will be required to follow any other instructions and to perform any other related duties as assigned by the Senior Director of Special Education, Chief Executive Officer, or any other appropriate administrator. Assist in maintaining a safe facility. This position works independently, under general direction, and is expected to determine how to accomplish tasks. Travel between campuses and directed or needed. Duties can be performed in the building, community, or in other off-campus locations. This position is an on-site position.
Physical Requirements:
Sitting, standing, lifting and carrying (up to 50 pounds), reaching, squatting, climbing stairs, kneeling, and moving light furniture may be required. Adequate vision and hearing ability for monitoring children's verbal and non-verbal responses. Ability to provide a quality behavior model for students and staff.
Safety and Health:
• Knowledge of universal hygiene precautions. • Knowledge of best practices regarding behavioral de-escalation and safety protocols.
Equipment/Material Handled:
• The IEP Services Coordinator shall be assigned a variety of evaluation and consulting materials which are to be appropriately stored and accounted for. All media resources and borrowed material are to be judiciously used, and are to be maintained in a reasonably unsoiled and non- damaged fashion. Must know how to properly operate or be willing to learn to operate all multimedia equipment including current technology.
