Who we are looking for:
We know that great people are critical to the success of our office, and we are looking to add a proactive, detailed, and team-oriented Student Services Assistant I to our Registration and Records team. A successful candidate will be student-focused, caring, collaborative, teachable, and excited by change and new opportunities. What you'll be doing: Under the direction of the Assistant Registrar for Registration and Records, the Student Services Assistant I is tasked with advising students with technical information related to registration and record procedures in person, by telephone, email, and text message; Assisting students, faculty, and staff in troubleshooting errors and resolving problems associated with registration, records, grading, petitions, and other related services and functions; Reviewing and screening student petitions; Updating and submitting enrollment reports to the National Student Clearinghouse; and Researching and coordinating with other departments in regard to any processes related to registration and records. Additional responsibilities include cross-training in all areas of the Registrar's Office and assisting team members with a variety of tasks and projects as assigned. Responsibilities are primarily clerical in nature and include precise data entry. Optional hybrid schedule of one remote workday depending on departmental needs. Advises and assists students with procedures including registration, class changes (auditing, adding, dropping and withdrawing), transcripts, and verifications. Advises staff, faculty, employees, and students in regard to university, state, and federal policies, including procedures pertaining to registration and records, and the Family Educational Rights and Privacy Act (FERPA). Reviews and screens student petitions in accordance with university policies and practices. Processes registration and withdrawal requests and resolves concerns by contacting various advisors and departments. Submits and updates the National Student Clearinghouse, including scheduling, submitting enrollment, degree verifications, errors, and NSLDS reports. Coordinates grade changes, which include missing grade reports and daily updates. Responds to calls and requests from departments related to registration and records issues and concerns, including researching, troubleshooting, and updating incorrect or incomplete data. Performs other duties as assigned, including cross-training and assisting team members. Graduation from an accredited institution with an Associate's degree plus two years of staff-level experience related to the Summary of Duties; OR equivalent education and experience totaling four years. Knowledge Knowledge of department processes, procedures, and policies (training provided). Knowledge of FERPA regulations (training provided). Skills Skills in data entry (training provided). Skills in Ellucian's Banner student information system (training provided).
Skills in Microsoft Office products:
Excel, Word, PowerPoint, Outlook, Teams, SharePoint, OneDrive (training provided). Skills in Qualtrics Experience Management Software (training provided). Abilities Ability to accept feedback and change behavior. Ability to adapt and adjust for the benefit of the team. Ability to communicate verbally and in writing. Ability to think creatively and explore improvements to processes and procedures. Ability to work and compromise effectively with a team.
