Primary Purpose:
Under moderate supervision, provide routine clerical support for the efficient operation of the school's counseling office and professional staff. Maintain accurate attendance and student records. Provide clerical services for school's assistant principals. Maintain current and accurate confidential student records.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Knowledge of general office procedures Proficient keyboarding and file maintenance skills Ability to use software to develop spreadsheets, databases, and do word processing Knowledge of basic accounting principles Ability to maintain accurate and auditable records Ability to follow verbal and written instructions Ability to perform a variety of tasks often changing assignment on short notice Effective organizational, communication, and interpersonal skills
Experience:
Three years secretarial experience
Major Responsibilities and Duties:
Records, Reports, and Correspondence Prepare campus communications, correspondence, forms, manuals, reports, and purchase orders following district standards and requirements. Prepare instructional materials and as requested. Maintain a daily teacher attendance log and records for substitute teachers. Monitor and process time records including leave requests and reports. Compile information and submit to central office according to established procedures and deadlines. Maintain school calendar of events. Provide general clerical support including word processing, data entry, filing, and file maintenance. Assist with the registration of new students, including requesting and sending student records, entering student data, and ensure completeness of records. Process changes and adjustments to student schedules. Compile, maintain, and file all reports, records, and other documents as required. Maintain student records according to established procedures including test scores and final grades on permanent records. Assist counselor(s) with scheduling of meetings and appointments. Schedule conference room for all LPAC, 504, AEP, Parent/Teacher meetings, and campus improvement meetings for all staff. Collect and enter attendance data into established database and verify accuracy according to prescribed procedures. Assist parents, students, and faculty with questions regarding attendance. Contact parents/guardians to verify student absences as needed and report attendance problems to designated administrator. Reception and Phones Receive incoming calls, take reliable messages, and route to appropriate staff. Schedule meetings and appointments and maintain calendar for principal. Assist counselor(s) with scheduling of meetings and appointments. Assist students, teachers, and parents as needed. Other Assist with planning, preparation, and setup of faculty meetings and campus activities. Sort, distribute, or deliver mail and other documents. Receive, distribute, and ensure security and confidentiality of testing materials. Maintain college information and help students, parents, and teachers find information about testing, scholarships, and college materials. Maintain confidentiality. Assist in campus office as needed. Other duties as assigned.
