Work Schedule

Work schedule will be determined upon hire.

Regular Hours:

Monday-Friday 8:00am-5:00pm

Summer Hours:

Monday-Thursday 7:00am-6:00pm

Schedule cannot exceed 19.5 hours per week. Job Summary

This position serves as a primary point of contact for the GateWay Community College (GWCC) Admissions and Records Department at the Washington campus, delivering exceptional customer service to students, employees, and community stakeholders. The position is responsible for maintaining high service standards through phone, email, and in-person interactions while providing accurate information and support. Key responsibilities include processing and managing physical and electronic records, printing and distributing diplomas, processing identification card requests, and ensuring the accurate filing and maintenance of student documents.

Essential Functions

Serves as a primary point of contact for Admissions and Records, providing exceptional customer service to current and prospective students, staff, and community members through in-person, phone, and email interactions. Assists students with admissions applications, course registration, schedule planning, continued registration for clock-hour programs, and other enrollment-related processes. Guides students in the use of self-service technologies and supports Admissions operations, including queue management and navigation of institutional resources.

Supports Admissions and Records operations through the processing and maintenance of student records and documents.

Responsibilities include physical and electronic document filing, scanning and indexing records in Laserfiche, printing and mailing diplomas, processing student identification requests, and ensuring accurate record retention and document management practices.

Collaborates with Admissions and Records staff to support departmental operations and service delivery. Attends staff meetings, provides functional support for departmental initiatives, and assists with campus events, student activities, commencement ceremonies, and other student-facing programs as needed.

Maintains an organized, professional, and welcoming Enrollment Center environment. Assists with general office operations and performs other related duties as assigned to support the effective functioning of Admissions and Records services.

Minimum Qualifications

High school diploma or equivalent

Experience using technology such as (Google Suite, Microsoft Office, Cranium/ConexEd, Canvas, Dynamic Forms).

Ability to communicate clearly and effectively, both verbally and in writing.

Experience and ability to multitask, organize, prioritize, and meet project deadlines.

Ability to work independently and prioritize duties.

Special Working Conditions

Will be required to travel or be assigned to all MCCCD locations.

May require some evenings or weekends.

May require prolonged periods of viewing a computer screen.

May be required to lift or carry up to #25 lbs.
