About the Norton Simon Museum The Norton Simon Museum is known around the world as one of the most remarkable private art collections ever assembled. Over a thirty-year period, industrialist Norton Simon (1907-1993) amassed an exquisite collection of European art from the Renaissance to the 20th century and South and Southeast Asian art spanning 2,000 years. Approximately 1,000 works from the permanent collection of 12,000 objects are on view in the Norton Simon Museum's galleries and sculpture garden throughout the year. The Museum is located in beautiful Pasadena, California, just steps from the bustling Old Pasadena district known for its shops and restaurants, and adjacent to the vibrant neighborhoods of northeast Los Angeles, Glendale and South Pasadena. Easily accessible by public transportation, the Museum also offers its employees free parking, as well as free admission to the Museum anytime, and discounts in the store and café. About the Role Reporting to the Director of Education and Public Programs, this part-time position supports the day-to-day operations of the Museum's Education and Public Programs department. Responsibilities
  • Coordinate reservations and logistics for school tours, group visits, public tours and other programs.
  • Communicate with teachers, group organizers, Museum Educators, and Museum staff regarding schedules, arrivals, attendance, accessibility needs, and changes.
  • Greet scheduled groups and communicate attendance, accessibility needs, cancellations, and other visit updates to Museum Educators and relevant Museum departments
  • Maintain the department's calendars, scheduling systems, and program records.
  • Schedule Museum Educators for tours and programs and maintain accurate records of availability, assignments, substitutions, and cancellations.
  • Support operational logistics and departmental communication for lectures, performances, classes, workshops, family programs, and other public events.
  • Support program-related administrative tasks, including contracts, invoices, purchase orders, payments, reimbursements, attendance reporting, and record keeping.
  • Stay informed about gallery closures, installations, exhibitions, and other changes that may affect programs.
  • Support occasional evening or weekend programs and events as needed. Qualifications
  • At least one year of experience in program coordination, scheduling, administrative operations, visitor services, museum education, arts administration, or related areas.
  • Strong organizational skills and attention to detail, with the ability to manage detailed schedules, multiple deadlines, changing priorities, and competing needs.
  • Strong written and verbal communication skills, with the ability to communicate professionally and collaboratively with educators, teachers, group organizers, artists, speakers, colleagues, and members of the public. Sound judgment and the ability to anticipate scheduling conflicts, incomplete information, and operational needs are essential.
  • Proficiency with Microsoft Office and experience working with databases, ticketing systems, shared calendars, registration platforms, or comparable digital tools.
  • Ability to learn and consistently use the Museum's scheduling and record-keeping systems.
  • Experience in a museum, cultural organization, school, university, nonprofit, or public-facing program environment is preferred.
  • Familiarity with art museums or an interest in art and visual culture is preferred.
  • A bachelor's degree or equivalent combination of education and relevant experience is preferred.
  • Foreign language skills are desirable.
Physical Requirements This position requires regular computer and telephone use, movement throughout the Museum and occasional extended periods of standing. The position may also require moderate lifting, reaching, bending, and transporting program materials. Schedule This is a part-time, non-exempt position requiring up to 24 hours per week. The anticipated schedule is Thursday, Friday, Saturday and Monday. Approximately one Sunday per month and occasional evening hours are required to support programs and events. Weekday hours will generally align with school and group tours.
Pay:
$24.00 per hour Expected hours: No more than 24.0 per week
