Job Description

Position Summary:
The Administrative Support II role responsibilities include handling office of Alumni Engagement and Annual Giving administrative details (budget, promotional item order, etc.), assisting in the preparations, planning and implementation of Alumni Board meetings, Leadership Stetson, Homecoming, District events, and other activities and functions sponsored by the office; composing event correspondence, coordinating calendars, and meeting schedules.
Essential Job Functions and Responsibilities:
Oversee general office functions, including ordering of supplies, maintenance of office machines, oversight of student employees, scheduling of the Development golf cart and Alumni Conference Room, access to the building, and general office support, as needed. Answer phones, greet visitors, and check office email inbox while exhibiting professionalism. Assist budget administration including purchasing card reconciliation, processing paperwork for payments, managing office budget, and confirming budget reports for Alumni Engagement and Annual Giving. Maintain data within Raiser's Edge and work with Development Operations to pull lists for the use of correspondence for Alumni Engagement and Annual Giving initiatives. Perform data updates as needed from alumni submissions and mail out corresponding thank you pieces, including wedding and baby gifts. Process information from alumni containing alumni news and prepare draft publication of the Class Notes section of the Stetson University Magazine . Manage the Alumni ID Card registration and distribution process. Support office events, including gathering of setup items and nametag printing. Perform other related duties as assigned.
Required Knowledge, Skills, and Abilities:
The knowledge, skills, and abilities for this role include: Experience with Microsoft Suite Excellent oral, written and interpersonal skills required Administrative experience in detail-oriented office with high level ofi nteraction with outside community and University academic communities Ability to interact personably within a complex administrative organization with students as well as with external groups Ability to prioritize, focus, work independently and be a self-starter Flexibilityforavariableworkscheduledependingonprogramactivitiesand events Ability to effectively supervise student employees Ability to lift and move items associated with event set-up ,transporting and displaying materials
Required Qualifications:
This position requires: Associate's degree Minimum of three years of administrative support experience, preferably in higher education Excellent time management and organizational skills, as well as the ability to handle multiple tasks simultaneously and prioritize Proficiency with Microsoft Office (Word, Excel, PowerPoint), email, and the internet Excellent interpersonal communication skills, both written and verbal, with a strong attention to detail Demonstrate good judgment, maturity, personal integrity, and the ability to successfully collaborate with colleagues, alumni, and volunteers in a culturally diverse environment, as well as maintain confidentiality I deal
Candidate Qualifications:
The ideal candidate's qualifications include: Bachelor's degree Develops strong, positive relationships within the University community Keeps current with best practices Monitors budgets Attends events, board meetings and other functions as needed Experience in leadership Experience working with students Experience developing programs
Work Environment:
The office work environment is lively and energetic. Daily operations are in the office but events can be both indoor or outdoor.
Pay Grade:
5 Work authorization sponsorship may be available for this position. However, sponsorship is contingent upon the non-applicability of the visa petition fees outlined in the relevant Executive Order signed September 19, 2025. Due to the recent federally-mandated increased financial expense, the university is not in a position to absorb this significantly increased cost of sponsorship for new H-1B petitions at this time.
