About Dana Institute of Health Science Dana Institute of Health Science is a startup allied health educational institution committed to preparing healthcare professionals for the growing needs of Marion County and surrounding communities. As we prepare to launch our initial programs pending CIE approval, we seek a compassionate and ethical Admissions Representative to guide prospective students through their enrollment journey. This is a part-time position, ideal for a driven individual seeking a foundational role in a growing organization. The role will begin in late fall to build the student pipeline for the institution's inaugural Winter semester. This position requires on-site presence in Ocala, Florida, and reports directly to the [e.g., Director of Admissions]. Position Overview The Student Admissions Representative will serve as the first point of contact for prospective students and will be responsible for managing the entire admissions lifecycle—from initial inquiry to enrollment. This is a unique opportunity to build a student body from the ground up, while ensuring full compliance with FAPSC (Florida Association of Postsecondary Schools and Colleges) standards, state regulations, and institutional policies. The ideal candidate will be a relationship-builder who is deeply familiar with (or eager to learn) the Florida regulatory landscape for career schools.
Key Responsibilities Student Recruitment & Counseling Inquiry Management:
Serve as the primary point of contact for all prospective students, responding promptly and professionally to phone calls, emails, text messages, and website inquiries.
Relationship Building:
Guide applicants through the entire admissions process, building rapport, understanding their career goals, and providing clear, accurate, and complete information about our allied health programs.
Campus Engagement:
Conduct informative and engaging campus tours for prospective students and their families, showcasing the facilities and learning environment.
Enrollment Goals:
Ethically and professionally guide students toward enrollment, ensuring they have all the information needed to make an informed decision about their education. Meet or exceed individual enrollment goals.
Compliance & Documentation FAPSC Certification:
If not already certified, obtain FAPSC (Florida Association of Postsecondary Schools and Colleges) certification within the required timeframe post-hire (institutional support will be provided).
Regulatory Adherence:
Ensure all admissions activities and counseling practices comply with institutional policies, state regulations (including 6E-1.0032), and FAPSC standards of ethics.
File Management:
Accurately collect, review, and process all required enrollment paperwork, ensuring student files are complete, accurate, and audit-ready from day one.
Record Keeping:
Maintain meticulous and timely records of all prospective and enrolled student interactions in the Customer Relationship Management (CRM) system and/or Student Information System (SIS).
Institutional Representation & Collaboration Program Expertise:
Become a subject matter expert on all Dana Institute program offerings, including curriculum, schedules, tuition, fees, payment plans, and refund policies.
Internal Collaboration:
Coordinate closely with the Registrar and Financial Aid office (or designee) to ensure a seamless transition for enrolled students regarding registration and aid packaging.
Outreach Support:
Participate in initial marketing and community outreach efforts to build awareness of the new institute within the Ocala community and surrounding areas.
Qualifications Required:
Experience:
Minimum of 1-2 years of experience in admissions, sales, or customer service. Experience in a career school, allied health setting, or other postsecondary institution is a strong plus.
Certification:
Commitment to obtain FAPSC certification within the specified timeframe.
Communication:
Excellent verbal and written communication skills, with the ability to connect with a diverse population of prospective students in a professional, empathetic, and compliant manner.
Organizational Skills:
Strong organizational skills and high attention to detail, essential for managing multiple applicant files and maintaining accurate records.
Technical Aptitude:
Proficiency with computers and the ability to quickly learn new CRM and SIS software.
Location:
Must be commutable to Ocala, FL, and able to work a consistent on-site schedule.
Preferred:
Active FAPSC certification. Experience using admissions or student management systems (e.g., Verity-CRM, Verity-SIS, Salesforce, HubSpot). Bilingual abilities (e.g., Spanish/English) are a significant plus for serving the Ocala community. An associate's degree or higher. Location Requirement This position requires the candidate to be based in Ocala, Florida, with regular on-site presence at the Dana Institute campus. The Admissions Representative must be available for in-person meetings with prospective students and families, campus tours, and close collaboration with the founding team. Compensation & Benefits Part-time, non-exempt position with a competitive hourly rate commensurate with experience.
