•Casual Hire Description •Applicants seeking short-term or part-time work with the University of Hawaii may apply for Casual Hire appointments, which include administrative, professional, and technical (APT) or instructional-type positions. Because of the temporary nature of these appointments, Casual Hire employees are not eligible for most benefits provided to regular Board of Regents or Civil Service employees. Temporary Duties & Responsibilities:
Create, maintain, and update Early College course sections in coordination with academic department chairs and support staff. Verify accuracy of course scheduling, including modality, cross-listing, instructional location, and term alignment. Support instructor onboarding by coordinating assignment confirmation, training, onboarding, and ensuring readiness prior to the start of each semester. Collect, organize, and verify faculty Minimum Qualification documentation in collaboration with department chairs. Maintain secure and up-to-date faculty compliance files in accordance with UH, UHCC, and FERPA guidelines. Track approvals, renewals, and exceptions, and flag items requiring review by the Dean and/or Department Chair. Coordinate with Human Resources and department chairs to ensure accurate instructional load, appointments, and payroll processing for Early College faculty. Assist with reconciling discrepancies related to assignments, load calculations, and instructional reporting. Serve as a support for Early College instructors, supporting calendar coordination, class rosters, textbooks, travel, and procurement. Maintain shared communication records and documentation to ensure continuity and transparency across terms. Relay timely logistical updates to academic affairs personnel. Coordinate instructional support needs, including textbook orders, laboratory materials, technology requests, and room scheduling for EC courses. Confirm instructional readiness and resource availability prior to semester launch. Generate and organize enrollment, persistence, and completion reports for Early College offerings. Prepare summary data and reports to support Dean's analysis, planning, and end-of-term debriefs. Maintain organized records to support program review, assessment, and accreditation needs. Schedule Early College meetings and convenings; prepare agendas, take minutes, and track follow-up actions. Maintain organized documentation related to assessments, compliance, and accreditation reporting. Distribute timely reminders regarding rosters, deadlines, evaluations, and compliance requirements. Support consistent, clear communication with instructors regarding procedural updates and expectations. Other duties as assigned
Minimum Qualifications:
Possession of a bachelor's degree and (1) year of progressively responsible professional experience with responsibilities for office or project management; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills, and abilities required. Demonstrated ability to recognize and resolve the full range of problems that may commonly arise in administrative support areas. Demonstrated ability to understand oral instructions and written documentation, write reports and procedures, communicate effectively and appropriately in a variety of situations. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals. Demonstrated ability to effectively manage and organize electronic files, and use advanced features in word processing, spreadsheets, and presentation software. Demonstrated ability to plan, organize, direct, and improve the administrative aspects of an active office. Ability to manage multiple tasks from onset to completion. Evidence of being highly organized; able to work under pressure with frequent interruptions; and flexible with competing priorities.
Desirable Qualifications:
Experience working at a community college or university. Experience using advanced features of Microsoft Office Excel, Word, and PowerPoint and Google Workspace applications. Functional knowledge of University of Hawaii processes and systems (i.e.: Banner, STAR, Kuali Financial System (KFS), and eTravel, SAP Concur). Understanding of FERPA requirements and appropriate handling of personally identifiable information. Ability to manage budgets from multiple sources of funding (e.g.: general funds, grants, University of Hawaii Foundation).
