Job Summary:
The Admission Coordinator Assistant provides vital administrative and clerical support to the Admission Coordinator, ensuring a smooth and welcoming admission process for prospective residents. This full-time role serves as a compassionate first point of contact.
Key Responsibilities:
Manage inquiries from prospective residents/families (phone, email, in-person). Conduct facility tours, highlighting features and benefits. Prepare and organize admission packets. Collect and verify resident data, insurance, and medical documentation. Maintain accurate, confidential admission records (physical/electronic) compliant with regulations. Schedule admission appointments, tours, and meetings. Communicate effectively and compassionately with residents, families, and team. Provide general administrative support (filing, data entry, correspondence). Coordinate new resident arrivals for a seamless transition. Collaborate with other departments to ensure coordinated care. Perform other duties as assigned to support the admissions team.
Qualifications:
High School Diploma or equivalent required; Associate's Degree preferred. 1-2 years administrative support experience, preferably in healthcare, senior living, or customer service. Exceptional interpersonal and communication skills; friendly and compassionate demeanor. Strong organizational skills and attention to detail; ability to multitask. Proficiency in Microsoft Office Suite; comfortable learning new software. Ability to maintain confidentiality. Proactive, positive attitude, teamwork, and commitment to resident satisfaction.
