Assistant Director of Student Employment & Financial Services Financial Aid Description Position Summary:
The Assistant Director of Student Employment & Financial Services manages the compliance and operational functions of the College's student employment program-including Federal Work-Study and on- and off-campus employment-while also providing student-facing support to the Student Accounts team and serving as a front-line resource for financial aid questions. This role owns the compliance side of student employment: eligibility verification, required documentation, and audit-ready recordkeeping. Human Resources manages student employment payroll and timecard processing; the two functions are coordinated closely but distinct. Financial aid advising and award questions are handled exclusively by the Associate Deans of Financial Aid. This role addresses front-line financial aid questions and triages anything requiring eligibility counseling or award-level judgment to the appropriate Associate Dean.

Organizational Context The Financial Aid and Student Accounts office operates with clearly defined functional lanes:
Dean of Financial Aid:
Owns Financial Aid program strategy, federal Title IV compliance, award packaging, SAP policy, and R2T4. Supervises the Director of Student Financial Services and the Associate Deans of Financial Aid. Associate Deans of Financial Aid (2): Serve as the student-facing leads for all financial aid advising, eligibility counseling, and award questions.
Director of Student Financial Services:
Owns Student Accounts operations, billing compliance, and strategic oversight of student employment compliance. Supervises the Associate Director of Student Accounts and the Assistant Director of Student Employment & Financial Services.
Associate Director of Student Accounts:
Manages day-to-day Student Accounts operations alongside the Director.
Assistant Director of Student Employment & Financial Services:
Manages student employment compliance and operations, provides student-facing Student Accounts support, and triages front-line financial aid questions to the appropriate Associate Dean. Core Responsibilities Student Employment Compliance & Operations Serve as the primary point of contact for student employment compliance matters, including Federal Work-Study and on- and off-campus employment. Verify student eligibility and ensure accurate, timely completion of all required employment documentation. Maintain meticulous, audit-ready employment records in compliance with federal and institutional regulations. Process on-campus work permits. Proactively monitor student earnings against award and eligibility limits. Partner with Human Resources on the handoff between compliance documentation and payroll/timecard processing; confirm timecard entries align with documented eligibility and work authorization. Prepare accurate and timely student employment fund reports for departmental and college leadership. Student Employment Program Administration Develop and deliver student employment orientations; provide ongoing coaching and support to student employees and their supervisors. Validate and maintain accurate, up-to-date job descriptions and postings on Handshake. Develop and facilitate student and supervisor training resources and best practices. Mediate and resolve student employment-related conflicts fairly and promptly. Recruit, hire, train, and supervise student program assistants supporting this function. Off-Campus Employment & Community Engagement Serve as the College's liaison with local and regional employers regarding student employment. Cultivate and maintain partnerships with off-campus employers to identify new employment opportunities. Provide professional references for student employees to potential employers. Manage relationships with off-campus supervisors. Represent the College in relevant regional or national organizations related to student employment and work-study. Student Accounts Support Provide student-facing support on billing inquiries, payment processing, and account status. Monitor accounts for discrepancies; communicate proactively with students regarding balances and holds. Support cash management functions, including receipt, deposit, and reconciliation of student payments, in coordination with the Associate Director. Assist with meal plan and refund-related account questions as needed. Document student-facing account interactions in the College's student success CRM, consistent with service-history standards maintained by the Associate Director. Financial Aid Triage Serve as a front-line resource for students and families with basic financial aid questions, such as how aid has been applied to their account or general process and timeline questions. Triage questions requiring eligibility counseling, award decisions, or aid compliance judgment to the appropriate Associate Dean of Financial Aid. Maintain sufficient working knowledge of financial aid processes to provide accurate front-line information without advising on aid eligibility or awards. Log front-line financial aid interactions in the CRM to maintain an accurate service history and support triage tracking. Systems & Data Integrity Utilize Ellucian Colleague, Perceptive Content, and related platforms to support Student Accounts and student employment compliance functions. Utilize Handshake to manage student employment postings and employer relationships. Use the College's student success CRM as directed by the Associate Director to document interactions and maintain accurate service-history records. Maintain accurate and complete records in compliance with FERPA and institutional data standards. Report data integrity issues to the Director; assist with resolution in coordination with the AIS team. Prerequisites Minimum Qualifications Bachelor's degree or equivalent combination of education and relevant experience. Demonstrated proficiency in Microsoft Office Suite and Google Workspace. Excellent written, oral, and presentation skills, with the ability to communicate effectively with diverse audiences. Demonstrated effective and compassionate communication and interpersonal skills. Ability to work occasional evenings and weekends as needed. Demonstrated experience with budget management or accounting principles. Preferred Qualifications Bachelor's degree in accounting, finance, business, or a related field; master's degree preferred. 2-3 years of professional experience in higher education, preferably in student employment, student accounts, financial aid, or a related area. Familiarity with Ellucian Colleague (or similar student information system) and Handshake (or similar career services platform). Cash handling and bookkeeping experience. Experience in a generalist or cross-functional role requiring broad coverage. Work Environment This is a .92 FTE, exempt, primarily office-based position. Occasional evening or weekend work may be required during peak periods, including the start of term, billing cycles, and student employment orientation and hiring cycles.
