Hopewell is a not for profit therapeutic farm community set on a picturesque 325-acre working farm located near Middlefield, Ohio. Hopewell combines clinical care, meaningful work, and a natural farm environment to help adults with serious mental illness develop skills to manage their illness and live more independently. Position Summary The Admissions Assistant provides administrative and operational support to the admissions and outreach teams to ensure an efficient, organized, and welcoming experience for prospective and newly admitted residents. This position coordinates admissions activities, assists with insurance authorizations and utilization reviews, maintains accurate records, supports outreach efforts through administrative coordination, and helps new residents acclimate to the Hopewell community. The ideal candidate is highly organized, detail-oriented, personable, and committed to providing exceptional customer service. Essential Responsibilities Admissions Support Coordinate the admissions process from initial inquiry through scheduled intake. Serve as a point of contact for prospective residents, families, and referral sources regarding admissions logistics and required documentation. Schedule admissions, collect required paperwork, and ensure admission files are complete. Answer and route admission-related phone calls and inquiries. Welcome newly admitted residents and assist with the admissions process on intake day. Provide practical support to new residents during their transition to Hopewell by helping them become familiar with the campus, routines, and available resources. Maintain accurate admissions records, databases, and tracking systems. Outreach & Administrative Support Provide administrative support to the admissions and outreach teams. Assist with maintaining referral and outreach databases. Prepare correspondence, reports, presentations, and other departmental materials. Assist with tracking admissions, referral sources, outreach activities, and other department metrics. Maintain departmental files, forms, and electronic records. Support special projects and process improvement initiatives. Insurance & Utilization Support Assist with obtaining and tracking insurance prior authorizations. Coordinate documentation for utilization reviews and insurance communications. Maintain accurate records related to authorizations and payer requirements. Support the timely collection and organization of documentation needed for insurance reviews. General Responsibilities Participate in departmental meetings and committees as requested. Maintain confidentiality in accordance with HIPAA and organizational policies. Perform other duties as assigned. Qualifications Associate's or Bachelor's degree in business, healthcare administration, communications, marketing, psychology, or a related field preferred. Experience in administrative support, healthcare, admissions, customer service, or behavioral health preferred. Experience with insurance authorization or utilization review is preferred. Strong organizational, communication, and customer service skills. Excellent attention to detail and ability to manage multiple priorities. Proficiency with Microsoft Office and electronic record systems. Ability to work independently while collaborating effectively with a multidisciplinary team. Candidate Must:
Be at least 22 years in age. Valid Driver License High School Diploma or equivalent. Pass pre-employment physcial, TB test, background checks and drug test. Pay:
$18.00 - $24.00 per hour
