Job Description
POSITION PURPOSE
The Assistant Director of Student Financial Aid supports the Director in the administration, compliance oversight, and operational management of all federal, state, and institutional financial aid programs at Navarro College. This position provides leadership in systems management, regulatory compliance, staff supervision, fraud prevention, and student eligibility determination. The Assistant Director exercises independent judgment in interpreting complex federal Title IV regulations, performing professional judgement decisions, managing Return of Title IV (R2T4) calculations, overseeing verification processes, and coordinating fraud review activities. This role also supports in leading systems analysis, automation initiative, and financial aid module functionality to ensure accurate reporting, audit readiness, and institutional compliance.GENERAL DUTIES AND RESPONSIBILITIES
Compliance & Regulatory Oversight Assist in the administration of all federal (Title IV), state, and institutional financial aid programs. Interpret and apply federal and state regulations to ensure institutional compliance. Performs professional judgement decisions in accordance with federal guidelines. Processes Return of Title IV (T2T4) calculations. Maintains documentation and internal controls to support audits, program reviews, and compliance reporting. Assist with open records requests regarding Financial Aid. Fraud Prevention & Risk Management Assists in reviewing suspected fraud cases and collecting supporting documentation. Evaluate conflicting information and coordinate resolution in accordance with federal regulations. Maintain detailed documentation to ensure audit readiness and institutional protection. Monitor patterns of irregular activity and escalate concerns appropriately. Systems & Technology Leadership Conduct systems analysis of financial aid operations to optimize efficiency and data integrity. Conducts daily operations of financial aid computer module. Assist with annual system setup and testing processes. Develop, test, and implement automated financial aid processes. Trains staff on system enhancements and automated workflows. Assist with the maintenance of the financial aid website. Student Eligibility & Counseling Evaluate and determine student financial need and aid eligibility. Oversee daily verification processes and application completion. Counsel students and families regarding financial aid programs and responsibilities. Determine eligibility for special programs, scholarships, state aid, and Work Study. Provide presentations and outreach regarding financial aid services. Work-Study & State Program Administration Assist in the administration of the College Work Study Program including: Student job placement and offer preparation New hire documentation processing Wage tracking and reporting Monthly reporting for fund drawdowns Assist with the administration of state aid programs and Texas Hazlewood benefits. Maintain compliance documentation for all assigned programs. Supervision & Office Leadership Assist with supervision of the financial aid staff and coordinate service delivery across campuses. Support strong customer-service standards within the Financial Aid Office. Develop training materials and provide ongoing staff development. Collaborate with campus departments to ensure seamless student service. Assist other campuses as needed. Reporting & Data Management Assists in the preparation and submission of federal, state, and institutional reports. Maintain accurate and complete records of aid recipients and program participation. Ensure proper reconciliation and documentation of funds.KNOWLEDGE, SKILLS AND ABILITIES
Advanced knowledge of state and federal student financial aid regulations. Strong analytical and system troubleshooting skills. Ability to exercise independent judgment and discretion. High level of accuracy and attention to detail. Ability to manage confidential information in compliance with FERPA. Strong interpersonal and conflict-resolution skills. Effective supervisory and leadership skills. Ability to extract and analyze data using financial aid software. Demonstrated customer service experience. Strong written and verbal communication skills. Ability to interpret and apply complex regulations. Ability to remain focused and effective in a fast-paced, deadline-driven environment.POSITION QUALIFICATIONS
Required:
Bachelor's degree in student personnel, education, business administration, accounting or related field. Minimum two (2) years of experience in financial aid, student services, or related compliance-focused environment.Preferred:
Bilingual (English/Spanish). Supervisory experience. Knowledge of Title IV regulations. Experience with Colleague and ImageNow/Dynamic Forms (or similar SIS/document imaging systems).WORKING CONDITIONS
Occasional extended hours during peak processing cycles (August/January). Office environment with frequent interruptions. Some travel between campus locations. High compliance and accountability environment.EMPLOYMENT REQUIREMENTS
Must successfully pass criminal background check. Must not be in default on any state or federal student loans.SALARY:
$50,000. annually (This is a 12 month position to be paid over 12 months)Benefits
