Job Description

The Circulation Supervisor oversees the circulation activity of the library. This includes managing the circulation desk, supervising circulation staff, and training staff in circulation procedures and computerized functions on the Integrated Library System (ILS). They will model prompt and friendly customer service and will listen to and address concerns and complaints from library patrons. They must be able to adapt to and embrace change to best serve the needs of our community. They help patrons in the use of library catalogs and databases to locate books and other materials; answer questions that require in-depth consultation; and assist in the use of library technology and resources. They also sort and shelve books; check materials in and out of the circulation process; and collect fine payments. This is a skilled, non-exempt position under the direct supervision of the Library Assistant Director. The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, repeated, or a logical assignment to this class. Manages Circulation Desk, including but not limited to circulation policies and procedures, patron interactions, fines and fees, and other general duties. Develops, revises, and keeps up-to-date circulation training materials and procedures. Provides effective directions to reporting staff. Manages circulation staff; interviews and selects staff as part of hiring committee; sets and maintains department schedules; monitors and evaluates job performance; trains in all circulation duties. Delegates responsibilities appropriately and supervises staff constructively. Performs basic and complex tasks using the library's circulation software: reserves, circulates, renews, and checks in books and other materials; collects fine payments; enters and updates patrons' records on computers; and more. Maintains excellent working knowledge of all aspects of the ILS related to circulation tasks. Troubleshoots common ILS problems. Submits support tickets. Supports the circulation front desk and provides information to patrons regarding library services, circulation policies and procedures, fees, or other issues. Responds to questions or concerns in person, by telephone, and by email. Maintains and fosters cooperative and courteous working relationships with public, peers, and supervisors. Delivers excellent customer service and addresses patron concerns patiently. Attempts to resolve conflicts regarding library procedures and policies related to circulation services and, if necessary, refer the patron to the Assistant Library Director or Library Director. Maintains up-to-date computer, software, and technology skills. Assist patrons and staff with general computer, technology, and reference questions. Performs technical liaison duties for patrons and staff with technology issues and diagnoses software problems as needed. Receives and accounts for cash from fees and copier charges. May perform, or assist with, a variety of other duties as assigned or necessary for the daily operations of the library, including but not limited to daily library operating procedures, serving library guests of all ages, assisting with programs and events, and routine shelving. Prepares official documents or correspondence related to policy violations and other issues. Records and delivers information to supervisors and officials, such as library statistics. Processes library materials to prepare them for inclusion in library collections. Repairs or removes damaged material. Attend meetings, training, and workshops. Performs light custodial duties to maintain a clean and orderly environment.
REQUIRED KNOWLEDGE AND ABILITIES
Knowledge of computers and common software. Ability to learn and independently use new technology and software. Knowledge of library services and collections, including digital resources. Ability to perform detailed and technical support work. Ability to explain procedures and policies. Ability to communicate clearly, concisely, and effectively in both verbal and written forms with diverse populations. Ability to work some evening and weekend shifts.
EDUCATION AND EXPERIENCE HS
Diploma/GED Bachelor's degree preferred 3+ years customer service experience required. 2+ years of public library experience strongly preferred. 2+ years supervisory or management experience preferred. Computer Literacy - Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and the Internet. Must be able to learn new computer applications, especially related to library software.
PHYSICAL REQUIREMENTS
This position requires the use of various office equipment including but not limited to a personal computer (word processing, spreadsheet generation), telephone, copy machine, smart devices, etc. The employee must have the ability to sit or stand for extended periods of time daily; mobility and strength to bend, stoop, lift and carry books for a short distance; speech and hearing to communicate in person and by telephone; manual dexterity and eye-hand coordination; vision to read handwritten and printed materials and a computer screen; and good memory and recall. The employee must occasionally lift and/or move up to 50 pounds. Work is performed indoors in a comfortable, climate-controlled office environment. Moderate noise level.
