Job Description

Overview We are seeking a proactive and organized Preschool Admin Assistant to join our vibrant early childhood education team. In this vital role, you will serve as the welcoming face of our preschool, managing administrative tasks with enthusiasm and efficiency. Your energetic approach will ensure smooth daily operations, support staff, and provide exceptional support to families and visitors alike. Responsibilities Greet parents, visitors, and staff with friendly professionalism at the front desk, ensuring a positive first impression. Step in to classrooms when support is required. Manage multi-line phone systems, answer inquiries promptly, and direct calls accurately using excellent phone etiquette. Maintain organized filing systems, both physical and digital, including student records, attendance logs, and administrative documents. Handle data entry tasks efficiently using computer skills and software such as Microsoft Office and Google Workspace to update records and prepare reports. Support bookkeeping activities with QuickBooks or similar accounting software, including invoicing and expense tracking. Schedule appointments, manage calendars for teachers and administrators, and coordinate parent-teacher meetings or events. Assist with clerical duties such as proofreading documents, preparing correspondence, and ensuring all communication is clear and professional. Provide customer support to parents and staff by addressing questions or concerns promptly while maintaining excellent customer service standards. Experience Prior administrative experience in an educational or childcare setting is preferred. Minimum 1 year experience in licensed childcare. Demonstrated proficiency with computer literacy tools including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic data entry skills. Strong organizational skills with the ability to multitask effectively in a fast-paced environment. Excellent communication skills, both verbal and written, with an emphasis on professionalism and clarity. Bilingual abilities are a plus to support our diverse community of families. Pay:
$13.00 - $17.00 per hour
