JOB SUMMARY
Hamilton Community Schools is seeking a highly organized, customer-focused individual to serve as the District Substitute Coordinator. This position plays a critical role in ensuring classrooms and support services are staffed each day by coordinating substitute coverage across the district. The successful candidate will build positive relationships with substitute employees and district staff while managing daily staffing needs in a fast-paced environment.
ESSENTIAL FUNCTIONS
The District Substitute Coordinator is responsible for coordinating substitute staffing and supporting the district's daily operational needs. Essential duties include, but are not limited to: Coordinate daily substitute assignments for teachers, paraprofessionals, secretaries, food service, transportation, and other support staff as assigned. Manage the district's substitute management system, including creating and monitoring absences, filling vacancies, and maintaining accurate records. Communicate with substitutes, administrators, and department supervisors regarding daily staffing needs. Assist with recruiting and maintaining an active pool of qualified substitute employees. Assist with substitute orientation, training, and ongoing communication. Monitor substitute coverage trends and recommend strategies to improve fill rates. Maintain substitute personnel records, certifications, and required employment documentation. Prepare reports related to substitute usage, staffing shortages, and fill rates. Assist Human Resources on occasion with employment processes, including hiring events, background checks, and employee onboarding. Provide exceptional customer service to employees, applicants, and the public. Maintain confidentiality of employee and student information in accordance with district policies and applicable laws. Perform other duties as assigned to support district operations.
KNOWLEDGE, SKILLS, AND ABILITIES
Exceptional organizational and time management skills. Strong communication and interpersonal skills. Ability to prioritize multiple tasks while working under daily deadlines. Ability to problem-solve quickly and make sound decisions. Strong customer service orientation. High level of accuracy and attention to detail. Proficiency with Google Suite (Docs, Sheets, etc.) and the ability to learn district software systems, including substitute management platforms. Ability to maintain confidentiality and exercise professional judgment.
QUALIFICATIONS
Required:
18 years of age or older with a high school diploma or equivalent. Minimum of two years of experience in an office, administrative, customer service, or human resources setting. Demonstrated proficiency with computer applications and office technology. Ability to work independently while collaborating effectively with district staff.
Preferred:
Experience working in K-12 education. Experience with Red Rover or other substitute management software.
PHYSICAL REQUIREMENTS
While performing the duties of this position, the employee is regularly required to sit, stand, walk, communicate effectively, operate computers and office equipment, and occasionally lift or move materials weighing up to 25 pounds.
