General responsibilities: The Paraprofessional/Secretary for the RCEEP Montessori Department provides essential administrative, instructional, and student support services. This role supports visitors, families, staff, and students; manages daily office operations; and assists the RCEEP Lead Teacher. The position requires strong independent judgment, initiative, and the ability to balance clerical responsibilities with hands-on classroom support. Duties include behavior support, instructional assistance, recordkeeping, and preparation of classroom materials.
Essential job functions:
Processes student registration, enrollment, and withdrawal;
Answers phones, schedules appointments, and greets/assists visitors;
Monitors building entry, verifies visitor access, and manages sign-in/out procedures;
Maintains attendance records, runs reports, contacts families of unreported absences, and coordinates staff-parent meetings;
Monitors and reconciles staff absence management reports; assists staff with entering/deleting absences; assigns account numbers for employment-related absences;
Manages school financial accounts, inputs budgets, tracks expenditures, and oversees purchasing;
Prepares mailings, reports, correspondence, and directory information;
Maintains the school's parent communication platforms (newsletters, bulletins, announcements);
Administers basic first aid and performs lice checks as needed;
Assists students with minor medical or hygiene needs; completes accident reports;
Supports school nurses with maintaining medical and immunization records;
Contacts parents of non-compliant students and submits required reports to the health department;
Maintains records of student health office visits;
Participates in crisis management and problem-solving to address urgent concerns;
Assists the Lead Teacher with lesson preparation, materials setup, and classroom organization;
Reinforces lessons through one-on-one or small-group review;
Supports behavior management and models appropriate classroom conduct;
Supervises students during lunch, recess, transitions, and field trips;
Provides additional instructional support to students needing help with specific concepts.
Ancillary Job Functions:
Supervises students as assigned by the Principal and assists with behavioral interventions.
Assists substitute teachers and manages their check-in/out process.
Attends required meetings and trainings.
Performs other related duties as assigned.
PREFERRED QUALIFICATION
Understanding of or interest in Montessori Philosophy
Associate's degree or two years of experience in relevant areas, preferred Early Childhood experience (Montessori Method)
CPR and First Aid certified
Knowledge, skills, and abilities:
Proficiency with office equipment and computer systems.
Ability to type 50 wpm and use word processing/spreadsheet software.
Strong organizational and office management skills.
Excellent public relations and communication abilities.
Knowledge of business English, spelling, and composition.
Ability to maintain accurate records and prepare reports.
Ability to follow verbal and written instructions.
Ability to maintain confidentiality.
Ability to serve as a positive role model demonstrating responsible, respectful behavior.
Work Environment:
General office/school environment
Moderate noise levels
May be exposed to potentially hazardous bodily fluids
Physical requirements:
Frequent talking and listening.
Ability to remain stationary for extended periods.
Occasional reaching, grasping, and lifting up to 10 pounds.
