Job Description

A leading community behavioral health and early childhood education non-profit organization is seeking a detail-oriented Head Start Program Assistant . This role provides essential administrative coordination, data management, and operational support to ensure compliance with Head Start and Early Head Start performance standards and childcare licensing regulations.
Key Responsibilities Data Management & Reporting:
Input and manage departmental data across designated systems (including ChildPlus) covering Health, Mental Health, ERSEA, Education Services, and Family Services. Conduct data analysis, evaluate performance trends, and generate statistical reports and visual presentations.
Administrative & Clerical Support:
Draft and prepare program correspondence, memos, newsletters, agendas, and meeting minutes for staff and parent communications. Manage incoming/outgoing mail, shipping, faxes, and general office workflow.
File & Records Compliance:
Maintain comprehensive and organized filing systems for child and family records, safety logs, training logs, and program documentation in strict adherence to confidentiality guidelines.
Program & Meeting Coordination:
Track and document in-kind volunteer activities and non-federal share contributions. Assist with logistics and documentation for Parent Committee meetings and staff workshops.
Community Engagement:
Represent the program professionally across interactions with families, staff, vendors, and community partners.
Qualifications & Requirements Education:
High School Diploma or GED required; Associate Degree (AA) preferred.
Experience:
Minimum of 2 years of related administrative, clerical, or data entry experience (or equivalent combination of education and experience).
Technical Skills:
Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Access) and experience working with internet-based databases (ChildPlus experience is a strong plus).
Program Knowledge:
Familiarity with Head Start/Early Head Start philosophy, performance standards, and California childcare licensing regulations preferred.
Communication Skills:
Strong organizational, analytical, and interpersonal communication skills; bilingual fluency (English/Spanish) is highly desirable.
Licensing & Travel:
Valid California Driver's License, reliable transportation, and an insurable driving record for local business travel.
Physical Requirements:
Ability to lift up to 20 lbs occasionally and participate in occasional evening or weekend community events and meetings as needed. #COR1
Pay:
$21.00 - $23.00 per hour Expected hours: 40.0 per week
