Job Description

Under supervision of the Chemical Dependency Multidisciplinary Team, works cooperatively with all members of the team in performing clerical, secretarial and receptionist duties and assists Chemical Dependency Therapists with non-clinical duties. Core Competencies Acts as primary point of contact for Torrance Memorial Thelma McMillen Center. Uses proper phone etiquette. Answers phones in a timely manner and ascertains needs and routes accordingly. Greets patients, visitors, physicians and employees. Assesses callers' needs and refers to appropriate agency; if unsure, seeks guidance. Relays messages to staff in a timely manner. Handles routine and non-routine questions, complaints and problems based on knowledge gained through experience; if unsure, seeks guidance. Answers program information calls from community members including but not limited to family members, physicians, professionals, prospective patients and insurance companies. Provides a current list of community resources for those seeking assistance for substance abuse and mental health needs. Schedules assessments and consultations and maintains MS Outlook calendar. Compiles consult folders with necessary forms and provides to Intake Specialist. Prepares daily charge sheet and folders for patient groups. Provides patient with forms to complete for admission to the program. Schedules Health Screening appointment with Nurse and orientation with Intake Specialist. Assigns individual, gender and family counselor based on therapist load and session (AM/PM) Provides patient with Patient Handbook, weekly schedule and 24-hour phone number. Maintains patient charts. Orders and maintains all unit inventory; including forms, office supplies and drug testing materials. Verifies eligibility and insurance coverage on Thelma McMillen Center assessments and prepares insurance information report. Provides back up to account specialist. Follows protocol for patient under the influence by arranging transportation, safeguarding patient car keys and escorting patient to transport. Provides administrative support to Center's Program Manager. Schedules and prepares future staffing reports for each new patient. Supports Thelma McMillen alumni with events' announcements, mailings and supplies. Provides back up to Intake Specialist and counselors by taking intake calls.
