To perform a wide variety of clerical and secretarial duties and to coordinate school office activities and assist the principal in routine administrative tasks; perform public relations and communications services for the principal in an elementary school. 1.0 GENERALKNOWLEDGE BASE
Knowledge Of:
1.1 Modern office practices, procedures and equipment. 1.2 Record-keeping techniques. 1.3 Health and safety regulations. 1.4 Correct English usage, grammar, spelling, punctuation and vocabulary. 1.5 Oral and written communication skills. 1.6 Interpersonal skills using tact, patience and courtesy. 1.7 Telephone techniques and etiquette. 1.8 Basic first aid techniques. 1.9 Operation of standard office machines including computer equipment. 1.10 Laws, rules, regulations and DJJ Policy Manual related to assigned activities. 1.11 Policies, DJJ Policy Manual and objectives of assigned program and activities. 2.0 ESSENTIALJOB FUNCTIONS
Ability To:
2.1 Perform a wide variety of clerical and secretarial duties to coordinate school office activities and assist the Principal in a variety of administrative tasks. 2.2 Perform public relations and communications services for the Principal. 2.3 Add, subtract, multiply and divide quickly and accurately. 2.4 Understand and follow oral and written directions. 2.5 Compose correspondence independently. 2.6 Complete work with many interruptions. 2.7 Type at an acceptable rate of speed. 2.8 Work independently with little direction. 2.9 Establish and maintain cooperative and effective working relationships with others. 2.10 Learn, interpret, apply and explain rules, regulations, policies and procedures. 2.11 Operate a variety of office machines including typewriter, computer terminal, calculator and copiers. 2.12 Understand and work within scope of authority. 2.13 Maintain good public relations with students, parents, teachers, and public. 2.14 Meet schedules and time lines. 2.15 Plan and organize work. 2.16 Train and provide work direction to others. 2.17 Compile and maintain accurate records and prepare reports. 2.18 Work confidentially with discretion. 2.19 Learn, apply and explain policies, procedures, rules regulations and DJJ Manual. 2.20 Maintain current knowledge of program rules, regulation, requirements and restrictions. 3.0 PERFORMANCERESPONSIBILITIES
3.1 Coordinates a variety of office activities to assist the principal with administrative tasks; prepares and accurately maintains a variety of reports, records and files relating to students, staff, budgets, operations and activities. 3.2 Serves as secretary to the principal; composes routine correspondence, independently prepares, types and distributes communications and minutes of meetings; schedules appointments and meetings as requested; receives, opens and routes mail. 3.3 Trains and provides work direction to clerical personnel; monitors work flow and adjust duties to complete assignments in a timely manner. 3.4 Provides information concerning school policies, procedures, actions, activities and schedules as appropriate. 3.5 Collects, compiles, organizes and records a variety of data related to attendance, enrollment, personnel, payroll, equipment and student activities; prepares and maintains related records, files and logs. 3.6 Collects and accounts for monies collected in conjunction with school activities; secures monies and processes according to established procedures. 3.7 Administers first aid to ill and injured students; contacts the nurse, parents or public safety agencies as appropriate. 3.8 Registers, releases or transfers students; completes enrollment information and database. 3.9 Operates a variety of business equipment including a typewriter, calculator, copier, computer equipment, and other school office machines. 3.10 Requisitions, receives, stores and distributes supplies and office materials; maintains materials and equipment inventory as assigned. 3.11 Provides clerical assistance to faculty and staff as needed. 3.12 Assists in the orientation of new and substitute teachers; provides directions, keys and instructional materials. 3.13 Demonstrates loyalty and dedication to the purposes and goals of the Ohio County Schools. 3.14 Performs related duties as may be assigned. 3.15 Dresses appropriately for the job and is neat and well-groomed. 3.16 Exhibits good physical health required to perform tasks. 3.17 Accepts constructive criticism willingly. 3.18 Is punctual and prepared for immediate assumption of duties upon arrival at school. 3.19 Utilizes time appropriately and maintains good attendance. 3.20 Performs routine duties assigned in support of the program at the school site level. 3.21 Works closely with the other program personnel to coordinate activities and assure compliance with program and district reporting and evaluation requirements. 3.22 Promotes the establishment of positive working relationships with adults, school staff, and community agency personnel. 3.23 Serves as a liaison between home, school, and public and private resources continually striving to maintain positive communication. 3.24 Assists program personnel and other school and district personnel in seeking additional funding for the program. 3.25 Assists in the design and maintenance of program components, goals, and objectives tailored to meet the needs of juveniles and families. 3.26 Helps coordinate the involvement of volunteers and the provision of services on school site, 3.27 Assists with on-going changes in policies and procedures. 3.28 Participates in mandated training to meet DJJ requirements. 3.29 Provides for the dissemination of information in regard to the program to the proper interagency constituents. 3.30 Maintains current knowledge of the program's rules, regulations, requirements restrictions and confidentiality practices. 3.31 Assists in the organization of a system for record keeping and maintains records in a manner consistent with confidentiality statutes. 3.32 Works collaboratively with the Day Treatment Advisory Council and local interagency personnel. 3.33 Performs additional duties as assigned by the Superintendent or his/her designee.TERMS OF EMPLOYMENT
1. Number of days is according to contract which includes four paid holidays, instructional days, and training and work days as needed. 2. Salary commensurate with adopted classified personnel salary schedule 3. Sick leave and personal day as stated in Board policy. 4. The employee is an "at will" employee and the superintendent may terminate this employee at any time.Position Type:
