NDSU Extension Administrative Assistant & 4-H Program Assistant NDSU Extension -
Nelson County Position Type:
Full-Time (37.5 hours/week),
Benefited Position Reports To:
County Extension Agent Position Summary The Administrative Assistant & 4-H Program Assistant serves as the primary administrative support professional for NDSU Extension Nelson County and assists with the coordination of county 4-H programming. This position provides office management, financial recordkeeping, event coordination, communications, customer service, and program support across all Extension program areas including agriculture, horticulture, family and consumer sciences, community development, and youth development. The successful candidate must be highly organized, detail-oriented, self-motivated, and able to manage multiple projects while maintaining positive relationships with staff, volunteers, clientele, and community partners. Essential Duties and Responsibilities Office Administration & Customer Service Serve as the first point of contact for office visitors, phone calls, emails, and public inquiries. Provide general information regarding Extension programs and services and direct technical questions to appropriate Extension personnel. Manage incoming and outgoing mail and office communications. Maintain office filing systems, records retention requirements, and administrative reports. Attend office staff meetings and assist with scheduling and calendar management. Maintain inventory of office equipment, supplies, educational materials, and publications. Purchase office supplies and coordinate equipment maintenance as needed. Assist with county inventories and annual reporting requirements. Financial Management & Recordkeeping Manage and reconcile multiple financial accounts associated with Extension and 4-H programs. Process deposits, receipts, reimbursements, vouchers, invoices, and bill payments. Prepare financial statements and reports. Monitor certificates of deposit and assist with financial planning activities. Maintain accurate records of expenditures and revenues. Assist with annual audits and financial reviews. Communications & Marketing Design and distribute newsletters, flyers, brochures, promotional materials, and educational publications. Create advertisements for workshops, trainings, youth programs, and community events. Maintain and update the county NDSU Extension website. Manage Extension social media platforms and online event promotion. Write articles and submit photographs to local media outlets. Maintain mailing lists and coordinate mass communications. Program & Event Support Assist Extension Agent with planning, promotion, registration, and implementation of educational programs and workshops. Coordinate event logistics including facility reservations, materials preparation, registration management, technology support, and participant communications. Attend events as needed to provide administrative and technical support. Maintain event calendars and online registrations. Pesticide Certification Program Support Process pesticide certification and recertification paperwork. Advertise and coordinate pesticide training programs. Register participants and collect fees. Administer certification testing procedures as required. Prepare certification cards and training materials. Maintain compliance with state and NDSU recordkeeping requirements. Submit required reports and documentation to NDSU Extension. 4-H Youth Development Program Coordination Coordinate county 4-H enrollment and volunteer management systems. Maintain member and volunteer records, including volunteer screening and background check requirements. Assist with planning, organizing, and implementing county 4-H events and activities.
Coordinate:
4-H Achievement Day, Various Contests. 4-H Awards Day, 4-H Week Promotions, State Fair participation Recruit judges, volunteers, sponsors, and event helpers. Manage awards, ribbons, premiums, and recognition programs. Design annual 4-H promotional materials and apparel. Assist with scholarship administration and selection processes. Coordinate youth and volunteer communications. Develop recruitment and orientation materials for new families and volunteers. Stay informed on state and national 4-H policies, procedures, and program changes. Compliance & Reporting Assist with annual Civil Rights reporting and audits. Ensure compliance with NDSU Extension, county, state, and federal policies. Maintain records required for grants, audits, and program accountability. Complete Secretary of State filings and other required organizational compliance reports. Assist with annual county and state reporting requirements. Technology & Data Management Maintain databases and online reporting systems including: 4-H Online Pesticide Certification databases ES237 reporting systems NDSU event registration platforms Provide basic technology support for staff, volunteers, and program participants. Create maps, reports, spreadsheets, presentations, and other digital resources. Utilize Microsoft Office Suite and other software platforms efficiently. Professional Expectations Maintain confidentiality of financial, personnel, and participant information. Establish positive working relationships with clientele, volunteers, staff, elected officials, and community organizations. Represent NDSU Extension professionally in all public interactions. Participate in annual performance evaluations. Attend professional development opportunities including the NDSU Extension Support Staff Conference and other relevant trainings. Qualifications Required High school diploma or equivalent. One to three years of administrative, office management, bookkeeping, or related experience. Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint). Strong written and verbal communication skills. Excellent organizational and time management abilities. Ability to work independently and prioritize multiple responsibilities. Experience working with the public. Preferred Associate's degree or additional education in office administration, business, communications, or related field. Experience with bookkeeping or financial management. Experience with website management and social media. Experience working with youth programs, volunteers, or nonprofit organizations. Knowledge of NDSU Extension and/or 4-H programs. Physical Requirements Ability to lift and carry materials up to 25 pounds. Ability to sit, stand, walk, and use standard office equipment for extended periods. Occasional evening and weekend work required to support Extension and 4-H events.
