Job Description

The Program Assistant for MudGirls Studios will be responsible for directly supporting to the Executive Director in all necessary aspects of organizational operations. They will be a detail-oriented and organized individual who is able to professionally represent the MudGirls organization as an initial point of contact for public outreach when necessary. They will also be able to seamlessly coordinate with Executive Director and various outside organizations as needed to advance the programs and operation of the studio. They should also be able to quickly get a sense of studio operations and contribute consistently to the overall operation and structure of this varied and busy environment.
Program Assistant responsibilities include:
  • Plan and coordinate classes, programs and events.
  • Marketing for classes, programs and events
  • Schedule and communicate with organizations for classes, workshops, tours
  • Handle registration and payments for classes/workshops
  • Open and close the studio when Director is not present
  • Responsible for the studio when Director is not present
  • Handling administrative requests and queries from Director
  • Organizing and scheduling appointments
  • Planning meetings. Taking minutes when needed.
  • Maintain contact lists
  • Book travel arrangements and assist with travel to and from outside events
  • Preparing reports based on tracked data
  • Manage initial inquiries re: workshops, volunteer opportunities, speaking engagements, etc.
  • Correspondence such as Thank You notes, invitations, newsletters and emails to mailing list
  • Occasional travel for deliveries, courier services, etc.
  • Cleaning and organizing in the studio when needed.
  • Any other duties as assigned by Director
Events:
Be present and ready to assist at events
  • Assist with transport of team if needed
  • Provide general support to visitors Experience Needed Excellent oral and written communication skills a must.
Able to organize their work using tools, like Excell, MS Office Suite, email programs, Mailchimp, Wix and various standard office equipment. Ultimately, a successful Program Assistant should ensure the efficient and smooth day-to-day operation of the studio. Work Environment The studio can be messy at times when in production and employees should be prepared to get a bit dirty some days.

Employees may be asked to lift up to 50 pounds.
