37.5 hours per week, 12 months per year. Includes benefits and NYS retirement.
The Brighton Teacher Center (BTC), which is the office responsible for professional learning management and onboarding of new personnel is seeking an organized, proactive, and detail-oriented assistant to provide comprehensive administrative and financial support for all BTC and the office for curriculum and instruction programs, professional learning initiatives, and Policy Board operations. This critical role ensures the smooth functioning of professional development across the district.
Key Responsibilities and Essential Functions
The BTC Secretary's duties fall into three main categories:
1. Professional Learning and Program Support
−
Professional Development Management System:
Accurately enter and manage all in-district and out-of-district professional learning workshops, conferences, and user accounts within the professional development management system platform. −Registration and Attendance:
Process registrations, confirm attendance from sign-in sheets (kept for 8 years as required by the State Education Department), and manage user changes for new, retiring, or position-changing employees. −Onboarding Support:
Assist the Director with New Teacher Orientation planning, including booking meeting rooms, arranging catering with Food Service, and managing RSVP spreadsheets. −Logistics:
Manage Central Office conference room reservations and approvals via reservation platform. −Presenter Support:
Draft Letters of Confirmation and Contractual Service Agreements for outside presenters and arrange catering when approved. − Director and Asst. Superintendent forCurriculum and Instruction Support:
Assist in the scheduling and organization of the multiple professional learning programs offered during the summer and throughout the school year. 2. Financial and Administrative Management −Purchasing & Budget:
Write and process Purchase Orders (POs) for Grant and General Fund budgets, tracking Grant expenditures on a dedicated PO list spreadsheet. −Reconciliation:
Reconcile the district credit card statement monthly by recording PO numbers and budget codes for each line item. −Reimbursement:
Process employee reimbursement requests for out-of-district conferences and OSI pre-event approvals. −Payroll:
Review and approve payroll vouchers for BTC, Curriculum & Instruction (CI), and other designated pay authorization codes. −Vendor/Presenter Setup:
Initiate the setup of new vendors by sending W-9 forms to Accounts Payable. −Library Management:
Manage the circulation of the Professional Library Collection using the Library System. 3. Policy Board and Communication −Board Support:
Serve as an active member of the BTC Policy Board, representing the clerical unit. −Meeting Documentation:
Record and distribute minutes for monthly Policy Board meetings. −Website Maintenance:
Maintain and update the BTC page on the BCSD website (both public and Staff Only) under the supervision of the Director. Civil Service Title Office Clerk II Job Qualifications Must be on the current Office Clerk II certification of eligibles, be eligible for a transfer or be eligible to take the Office Clerk II exam. Required Skills and Qualifications − Proficiency with Microsoft Office Suite (Excel required for budget/PO tracking). − Experience or capacity to learn specialized software systems. − Exceptional organizational skills and attention to detail, especially regarding financial documentation and record retention (e.g., 8-year sign-in sheet retention). − Ability to manage multiple complex tasks, such as coordinating all travel logistics for out-of-district events (PO processing, hotel authorization, tax exemption forms).
