Job Description
Position Summary ASPEN Network Inc. seeks an organized, dependable, and detail-oriented Program Assistant to support the Executive Director. The role manages financial and administrative records, supply inventory, meetings, events, Board activities, and organizational communications. Candidates need strong organizational skills, professionalism, sound judgment, and commitment to ASPEN's mission. Essential Duties and Responsibilities Administrative and Financial Support Input, organize, and monitor financial records and other supporting documentation. Maintain accurate electronic and paper filing systems. Digitize, scan, label, archive, and retrieve organizational paperwork and records. Assist with routine administrative tasks, correspondence and follow-up. Handle sensitive organizational information with discretion and confidentiality. Inventory and Purchasing Track and manage inventory for program supplies. Monitor supply levels and notify the Director when materials need to be replenished. Place approved orders for office, program, school, and marketing materials. Verify deliveries, organize supplies, and maintain ordering and inventory records. Help prepare and organize supplies for presentations, outreach activities, school programs, and community events. Scheduling and Meeting Coordination Support scheduling of presentations, meetings, community events and school activities. Assist with calendar coordination and meeting communications with participants. Coordinate the physical setup and clean up of the office for in-person gatherings. Board of Directors Support Assist with developing and formatting meeting packets for the Board of Directors. Help collect required signatures from Board members on organizational documents. Maintain organized records of signed documents and Board meeting materials. Communicate professionally with Board members regarding organizational activities. Communications and Social Media Contribute to preparation and publication of updates on social media platforms. Assist with gathering program social media content. Ensure that published content is accurate, professional, timely, and consistent. Follow organizational policies regarding confidentiality, photo permissions, and the protection of youth and participant information. Event and Summit Support Assist with planning and coordinating logistics for two annual mental health summits. Support venue coordination, registration, schedules, materials, signage, supplies, refreshments, presenter needs, and participant communications. Help prepare and organize event packets, name badges, handouts, evaluation forms, and promotional materials. Provide on-site support before, during, and after summits and other events. General Program Support Assist with the preparation and organization of materials for youth mental health presentations, school programs, screenings, and community outreach activities. Represent ASPEN Network Inc. in a professional, respectful, and mission-aligned manner. Maintain positive working relationships with Board, community partners and public. Perform other related duties assigned by the Executive Director in support of ASPEN Network Inc.'s mission and operations. Required Qualifications High school diploma or equivalent. At least one year of administrative, office, nonprofit or related support experience. Strong organizational skills and attention to detail. Ability to manage multiple assignments, deadlines, and priorities. Proficiency with common office technology, including email, word processing, spreadsheets, electronic calendars, scanners, printers, and shared digital files. Effective written and verbal communication skills. Ability to work both independently and collaboratively. Professional judgment and the ability to maintain confidentiality. Reliable transportation and the ability to travel locally. Availability to work occasional evenings or weekends for meetings or special events. Preferred Qualifications Associate degree or additional education in business administration, nonprofit management, communications, social services, public health, or a related field. Experience coordinating meetings, presentations, conferences, or community events. Familiarity with social media platforms and basic content publishing. Experience with bookkeeping, financial recordkeeping, and inventory management..
