  • Part-time, Full-time Role Description The Program Assistant plays a vital support role in the day-to-day operations of TAP.
This position ensures smooth execution of recruitment events, program sessions, communications, and administrative tasks. The ideal candidate is highly detail-oriented, organized, has impeccable attention to detail and is eager to support a mission-driven team working to address the teacher shortage. Part-Time or Full-Time, Exempt $20-21/hr
Requirements Required:
1-2 years of administrative or program coordination experience (can include internships or part-time roles) Strong attention to detail and organizational skills Comfort working with spreadsheets, digital tools, and task-tracking systems Strong communication skills and customer service mindset Commitment to TAP's mission of expanding access to high-quality teachers Ability to manage multiple tasks and deadlines in a fast-paced environment Available to work in person at TAP's office at least once per week. Ability to work some evenings and weekends as needed.
Strongly preferred:
Bilingual (English/Spanish or English/Creole) Experience working in schools, nonprofits, or youth programs Interest in growing within the education or nonprofit field Responsibilities Event & Program Logistics Assist with preparation and setup for all TAP events, including interest sessions, orientations, PD workshops, and TAP Summer Order and organize supplies and materials needed for programming Help manage RSVPs, name tags, sign-in sheets, and event follow-up communication Support on-site logistics including space setup, food pickup, and technology needs Candidate & Staff Support Respond to basic candidate questions or direct them to the appropriate team member Support candidate communications, such as sending reminders and confirmations Assist in maintaining accurate candidate records and data entry in TAP tracking systems Help onboard part-time staff by preparing welcome materials and tracking completion of paperwork Recruitment & Communications Respond to basic applicant questions or direct them to the appropriate team member Support the execution of recruitment events (e.g., tabling, class visits, interest sessions) Follow up with prospective candidates and maintain accurate communication records Help manage TAP's presence on social media and in campus spaces Conduct applicant Interviews Data Tracking Enter, update, and organize participant information, attendance, and progress records. Support the team in pulling basic data reports and keeping records audit-ready. Monitor data for errors, missing information, or inconsistencies and flag issues for follow-up. Ensure files, spreadsheets, and tracking tools are organized and aligned with program expectations. Team & Administrative Support Attend weekly team meetings and take meeting notes Support planning and execution of strategic initiatives as assigned Collaborate with the Achieve Miami team on financial processes and support documentation needs Have Questions?
