Job Description

A mission-driven nonprofit organization is seeking a Temporary Program Assistant to provide full-time administrative support for a busy convenings and events team. This role is ideal for someone highly organized, detail-oriented, and comfortable supporting meetings, logistics, communications, travel, and general project administration. This is a completely administrative-focused role supporting internal teams, external partners, contractors, and stakeholders. Local New Orleans candidates are strongly preferred, with a hybrid schedule during training.
Responsibilities:
Manage calendars, meeting invitations, agendas, notes, and meeting summaries Monitor and respond to event and communications inquiries through shared mailboxes Coordinate scheduling and logistics for virtual and in-person meetings and events Facilitate virtual meetings, take real-time notes, transcribe minutes, and track action items Organize and maintain online documents, files, and project materials Coordinate travel arrangements for conferences, workshops, and sponsored travelers Process honorariums, reimbursements, check requests, invoices, and expense reports Reconcile AMEX statements and travel-related accounts as needed Support conference/event logistics including speaker communication, materials, signage, name badges, and on-site collateral Provide professional customer service to registrants, speakers, sponsors, and external partners
Requirements:
Bachelor's degree required Minimum of 2 years of professional administrative experience Strong Microsoft Office skills, including Word, Excel, PowerPoint, and Outlook Experience with Google Workspace preferred Ability to quickly learn platforms such as Smartsheet, Zoom, Cvent, Higher Logic, Doodle Poll, or Calendly Strong organizational skills and excellent attention to detail Professional written and verbal communication skills Ability to manage multiple priorities, meet deadlines, and follow through on action items Customer-service mindset and comfort working with high-level professionals Public health, nonprofit, conference, or event support experience is a plus
Additional Details:
This temporary assignment is expected to last at least two months , with the possibility of extension. This hole is also hybrid, with one or two days a week needed in-office in the CBD. #IND3
Pay:
$20.00 - $22.00 per hour
