• Position Overview The Paraprofessional Program Coordinator (PPC) serves as the primary operational leader responsible for overseeing the successful implementation, management, and quality assurance of HeyTutor's paraprofessional services across assigned schools and districts.

The PPC acts as the central liaison between district partners, school-site staff, paraprofessionals, and internal teams to ensure services are delivered with excellence and align with each partner's academic, behavioral, and operational goals. The PPC is responsible for coaching, compliance, performance management, and ongoing oversight of paraprofessional staff while maintaining strong relationships with school administrators. This role ensures schools receive exceptional service through proactive communication, continuous program monitoring, and hands-on support that contributes to positive student outcomes. Key Responsibilities Oversee day-to-day implementation of paraprofessional services, ensuring alignment with district expectations and program goals. Monitor program quality through daily school-site visits, classroom observations, and ongoing operational support. Serve as the direct supervisor and primary point of contact for assigned paraprofessionals, providing coaching, performance feedback, and accountability. Monitor staff attendance, professionalism, and performance, addressing concerns through coaching and corrective action when necessary. Coordinate staffing adjustments and coverage to ensure continuity of services. Build and maintain strong relationships with district administrators, principals, and school-site staff as the primary operational liaison. Join recurring district check-in meetings led by the Customer Success Manager to provide staffing updates, discuss program implementation, operational priorities, and school-site support. Ensure paraprofessionals understand and consistently adhere to role expectations, including appropriate student supervision, instructional support boundaries, confidentiality, student privacy, and district policies and procedures. Train and reinforce expectations for behavior support, de-escalation strategies, escalation procedures, non-restraint practices, and health and safety protocols, including toileting assistance and bloodborne pathogen procedures, in accordance with district requirements. Ensure compliance with organizational procedures, documentation, timekeeping, and required trainings. Maintain accurate records of observations, coaching conversations, performance documentation, and stakeholder communications. Collaborate with Customer Success Managers, HR, Hiring, and internal leadership to resolve operational issues and support successful program delivery. Identify operational challenges, communicate risks proactively, and implement solutions that promote continuous improvement and high-quality service. Qualifications Bachelor's degree (B.A./B.S.) required; Master's degree (M.S.) preferred in Education, Educational Leadership, Child Development, Psychology, Business Administration, or a related field. Three or more years of experience managing educational programs, school operations, or staff. Previous supervisory or coaching experience preferred. Experience working in K-12 educational environments preferred. Strong leadership, communication, organizational, and problem-solving skills. Ability to build collaborative relationships with school leaders, district partners, and internal teams. Experience with workforce management, scheduling, timekeeping, or CRM systems preferred. Ability to travel regularly to school sites for meetings, observations, and program support. Success Metrics Schools consistently receive dependable, high-quality paraprofessional support. Staffing needs are met quickly with minimal service disruptions. Operational challenges are resolved proactively and efficiently. School partners view the PPC as a reliable, responsive, and strategic partner. Programs operate smoothly while contributing to positive student outcomes and an exceptional school experience. Ideal Day-to-Day Operations of a Paraprofessional Program Coordinator Morning Review staffing schedules, attendance, and daily operational updates. Respond to school-site requests and urgent staffing needs. Coordinate substitute coverage and staffing adjustments. Connect with paraprofessionals regarding daily priorities and expectations. Midday Conduct school-site visits and classroom observations. Meet with principals, administrators, and school-site staff. Coach paraprofessionals and provide real-time performance feedback. Monitor service quality, professionalism, and program implementation. Afternoon Meet with internal teams regarding staffing, hiring, onboarding, and operational priorities. Document observations, coaching notes, and school communications. Resolve operational concerns and develop action plans. Prepare staffing updates, reports, and follow-up communications.
