This position is responsible for proactively managing daily operations, anticipating departmental needs, and taking ownership of the processes that impact student access and success. The Administrative Assistant is responsible for coordinating appointments, maintaining efficient front desk operations, and ensuring policies and procedures are consistently followed. Success in the role requires a high level of initiative, attention to details, and the ability to independently identify needs, act, and follow through. The salary for this position begins at $34,504.00 and is commensurate with education and experience. Why work for Sinclair College? Principal Accountabilities Front Desk Operations, Student Experience, & Staff Oversight Serve as the primary point of contact while managing all scheduling and communications to ensure timely response and accurate appointment coordination Train, support, and monitor front desk staff to ensure consistent adherence to policies, procedures, customer service expectations, and technological needs (e.g., Zoom, MS 365, Outlook, EAB Navigate, LMS, and CRM) Identify and resolve scheduling or service issues (e.g., overbooking), ensuring compliance with protocols and clear communication of outcomes to supervisors Operational Oversight & Department Readiness Maintain real-time awareness of departmental needs, including supplies, materials, and space readiness Ensure all physical and virtual environments are clean, organized, and student-ready Independently manage inventory and ordering processes to prevent disruptions to service Cross Department Communication & Recourse Coordination Partner with Academic Affairs and Student Development offices, and TLC leadership, to proactively promote services and share updates Coordinate communication and distribution of departmental materials (e.g., promotional items, business cards) Serve as a liaison to ensure accurate information flow and connection to services across departments Event & Initiative Coordination Lead coordination of events, tabling, and outreach initiatives from planning through execution Manage logistics including materials, staffing, communication, and setup to ensure readiness Ensure events are organized, communicated, and aligned with departmental goals Staff Onboarding & Administrative Coordination Coordinate onboarding logistics including keys, technology, system access, and materials Facilitate onboarding processes that ensure new staff feel welcomed, informed, and integrated into the department Ensure completion of administrative setup, including calendar access and communication systems Requirements Minimum of a high school diploma or equivalent required; associate's degree in a related field preferred Minimum of one (1) year of related office or clerical work experience required Proficiency in Microsoft Office applications and virtual communication platforms (e.g., Zoom) required Strong organizational, time management, and communication skills required Demonstrated ability to take initiative, anticipate needs, and follow through on responsibilities independently preferred Strong attention to detail with the ability to manage multiple priorities and maintain accuracy in scheduling and operations required Ability to monitor systems, identify issues, and implement solutions preferred Strong interpersonal skills with the ability to work effectively with diverse populations and collaborate across departments Ability to train and guide others, ensuring consistency in processes and service delivery preferred Commitment to creating a welcoming, organized, and student-centered environment required
