Full-Time or Part-Time Position Overview BES Engineering Services is seeking a highly organized, detail-oriented Engineering Project Coordinator to support our structural engineering team and help manage projects from initial setup through final delivery. This position serves as a central point of coordination between our engineering team, outside engineers and consultants, clients, inspections, project documentation, and accounting. The Engineering Project Coordinator will work closely with the Engineering Manager to keep projects organized, monitor deadlines and deliverables, communicate with clients, and ensure completed engineering documents are properly processed and delivered. We are open to both full-time and part-time candidates and are willing to consider a flexible schedule for the right individual. This position is ideal for someone who enjoys staying organized, managing multiple priorities, communicating with customers, solving problems, and keeping projects moving forward. Key Responsibilities Coordinate engineering projects from initial setup through final delivery. Maintain project schedules, deadlines, milestones, and outstanding action items. Work closely with the Engineering Manager to monitor project status and priorities. Maintain and organize project documentation, including drawings, calculations, inspection reports, specifications, photographs, and correspondence. Communicate with clients regarding project information, status updates, outstanding items, and deliverables. Coordinate assignments and deliverables with outside engineers and consultants. Follow up with engineers and team members regarding project deadlines and required information. Coordinate structural inspection reports from field completion through engineering review and final delivery. Track documents requiring engineering review, approval, and professional stamping. Prepare and coordinate final client deliverables, including stamped plans, CAD documents, calculations, and inspection reports. Coordinate printing, packaging, shipping, and electronic delivery of completed engineering documents. Work with the accounting team to identify completed work and project billing milestones. Assist with project invoicing information and project closeout. Review project files for completeness and help maintain BES documentation and quality standards. Assist the Engineering Manager with scheduling, project tracking, workload coordination, and other operational needs. Qualifications Strong organizational skills and exceptional attention to detail. Ability to manage multiple projects, deadlines, and priorities simultaneously. Strong written and verbal communication skills. Professional and confident when communicating with clients, engineers, contractors, and consultants. Strong follow-through and ability to take ownership of assigned responsibilities. Ability to work independently while collaborating effectively with a team. Proficiency with Microsoft Office and Adobe Acrobat. Ability and willingness to learn engineering terminology, project processes, and documentation requirements. Preferred Qualifications Experience in engineering, construction, architecture, manufacturing, or another project-based professional environment. Previous project coordination or administrative experience. Experience working with engineers, contractors, consultants, or other technical professionals. Familiarity with engineering or construction drawings. Familiarity with AutoCAD or CAD documents. Experience with project management or document management systems. Experience with invoicing, billing coordination, or project accounting. An engineering degree or engineering license is not required for this position. Education & Experience Associate's or Bachelor's degree in Business Administration, Construction Management, Engineering Technology, Project Management, or a related field is preferred but not required. Two or more years of experience in project coordination, administrative support, construction, engineering, or a similar role is preferred. Monday through Friday during normal business hours.
Part-Time:
A consistent part-time schedule can be established based on the candidate's availability and the needs of the engineering department. We are willing to consider flexible scheduling for the right candidate; however, regular availability during normal business hours will be important due to client communication and coordination with the engineering team. This position is primarily in-office at our Auburn, Indiana location.
