PRIMARY PURPOSE
To assist the Architectural Inspector in the processing and review of Home Improvement Applications, and the inspection of approved and unapproved completed work and work in progress.
SCOPE:
This position reports to the Community Relations Manager and interfaces with homeowners, residents and guests, contractors, Architectural Committee members, Community Relations staff members, and members of other departments including: Maintenance, Recreation, and Administration/Accounting.
PRIMARY RESPONSIBLITIES
The Architectural Assistant is responsible for, but not limited to, the following assignments: 1. Immediately input all Home Improvement Applications received into the Association software. Check to ensure that application has been completed properly, including neighbor awareness, property rights, etc. Also, ensure that the applicant has provided adequate information. Applications not completed properly or lacking adequate information should be returned to the applicant immediately along with a letter specifying the information needed, or, in the case of absentee neighbors, neighbor awareness letters are to be prepared immediately. All applications and plans should be stamped with an accurate received date. In addition, plans for additions/remodels should also be stamped with an accurate received date. 2. Maintain accurate records in the property management software for all Home Improvement Applications including telephone and office conversations, plan revisions, Committee member comments, staff comments, and any and all other pertinent information as necessary. 3. Conduct progress inspections and final inspections of approved, completed work. Alleged violations should be noted, and appropriate correspondence should be mailed to the applicant immediately. Also, in some cases a Stop Work Order and/or telephone call to the applicant may be appropriate as well. 4. Assist with the review of plans, prepare staff comments, photograph properties, reduce plans and assist with the production of the monthly Architectural Committee packets. 5. Assist with preparing the PowerPoint presentation in advance of the monthly Committee meeting. 6. Must learn the residential developments of Woodbridge intimately, including specific tract designs and site conditions. 7. Serve as a liaison between residents/applicants and the Architectural Committee. 8. Stay current and maintain knowledge of common home improvement products. 9. Assist with conducting framing inspections of all approved additions/remodels and conduct bi-weekly inspections of approved additions/remodels. 10. Draft decision letters and other appropriate correspondence, including extension letters, non-compliance letters, Hearing letters, etc., as needed. 11. Field telephone calls and office visits and meet with residents/applicants, neighbors, contractors and Committee members in the field as necessary. During telephone calls and office visits with residents/applicants, the employee shall be responsible to clearly, accurately and thoroughly explain the Home Improvement Application, addendums, the review process and the Architectural Guidelines and Standards. All persons to which the Inspector has contact with shall be treated kindly and patiently, and every reasonable effort shall be made to be as responsive and accessible as possible. 12. Must learn Sections and Chapters of the Association's Governing Documents related to architectural control, including the Architectural Guidelines and Standards, Covenants, Conditions and Restrictions (CC&R's), Fences, Drainage and Side Yard Easements and Signs. 13. Coordinate with Association CC&R Inspectors and City staff regarding observed architectural violations and CC&R violations. 14. Occasionally represent the Association in on-site meetings with representatives of local Maintenance Associations to discuss architectural issues. 15. Occasionally perform courtesy reviews of Activity Corridor and other commercial projects not falling under the Association's jurisdiction. 16. Keep the Community Relations Manager informed as to major issues, proposals, appeals, and any other issues as appropriate. Consult with the Manager as needed and with regard for the necessity to ensure consistent, timely, fair and well-thought-out decisions on individual applications and plans. 17. Filing of inspection reports, Home Improvement Applications, and other documents. 18. Purging of Lot Files. 19. Other special projects and duties as assigned by the Community Relations Manager and/or Architectural Inspector.
Job Qualifications/Skills and Abilities:

Education:
High School diploma or certificate from a recognized issuing agency. College/advanced degree/study in architecture/engineering a major plus. 2. Excellent written and verbal communication skills in English and professional customer service is a must. 3. Professional appearance and strong interpersonal/public relations skills required. 4. Must have the ability to effectively prioritize multiple concurrent projects. 5. Must be self-motivated and able to work with minimal supervision. 6. Must be able to work with a diverse group of residents, homeowners, vendors, board members, committee members, and staff. 7. Must be technologically savvy. Must be highly proficient in Windows and Apple devices. 8. Must be highly proficient in Microsoft Office (Outlook, Excel, Word, and PowerPoint) and be able to type twenty-five (25) words per minute minimum. 9. Proficiency in Association software system desired, or ability to learn the software. 10. Ability to hear within normal range. 11. Must be able to lift a minimum of thirty (30) pounds for job-related tasks. 12. Must be able to stoop and bend. 13. Must be able to walk on uneven surfaces.
