Job Description

Estate Manager, Minnetonka, MN We are seeking a reliable, detail-oriented Estate Manager to support our President by overseeing the day-to-day operation and care of a private residence in Minnetonka, Minnesota . This is a hands-on role that blends property maintenance with estate operations: coordinating trusted vendors, performing regular inspections, planning seasonal projects, maintaining service schedules, and ensuring the home and grounds are consistently safe, clean, and guest-ready. The ideal candidate works independently, exercises sound judgment and discretion and communicates proactively to prevent issues before they arise.
Responsibilities:
  • Complete routine property upkeep and preventative maintenance to keep the home, grounds, and outdoor living areas well maintained.
  • Provide pool care, including routine cleaning using power cleaning, and coordination of service providers when appropriate.
  • Perform seasonal and as-needed pressure washing of exterior surfaces (e.g., patios, walkways, decks, siding).
  • Handle landscaping and grounds care (trimming, weeding, basic planting, seasonal cleanup) and coordinate larger projects with vendors as needed.
  • Perform minor home repairs and basic tasks (e.g., replacing lightbulbs and batteries; tightening hardware; patching small holes; replacing simple fixtures/handles). Coordinate permit-required or otherwise regulated work (electrical, plumbing, HVAC, etc.) with licensed professionals.
  • Conduct regular walkthroughs to identify issues early (e.g., lighting, plumbing leaks, HVAC concerns, safety hazards) and coordinate timely resolution.
  • Schedule and oversee vendors/contractors (pool, landscaping, HVAC, plumbing, electrical, pest control, snow removal), including on-site oversight and follow-up on quality of work.
  • Maintain a preventive maintenance calendar and service schedule (e.g., HVAC servicing, pest treatments, snow removal, irrigation start-up/shut-down, gutter cleaning) and ensure work is completed on time.
  • Track property-related records (service notes, warranties, vendor contacts, invoices/receipts) and support basic purchasing and expense tracking as directed.
  • Maintain tools, equipment, and supplies; keep property-related items stocked and organized.
  • Support seasonal readiness (spring/fall transitions), including winterization/de-winterization tasks, storm preparation, and coordination of snow/ice management.
  • Coordinate with the President (and any household stakeholders) on priorities, upcoming projects, access needs, and special requests; provide clear updates on status and recommendations.
  • Maintain a high level of confidentiality, professionalism, and discretion while working in and around a private residence.
  • Perform other related duties as needed to support the ongoing care and operation of the residence.
Required Skills and Abilities:
  • Demonstrated experience in residential property maintenance, handyman services, facilities, landscaping, or related work.
  • Working knowledge of basic home systems (lighting/electrical basics, plumbing fundamentals, HVAC awareness) and the ability to troubleshoot and coordinate repairs.
  • Proven ability to manage vendors and service providers: scheduling, on-site oversight, quality control, and follow-through.
  • Strong organization and attention to detail; ability to prioritize tasks, maintain a service calendar, and manage seasonal projects independently.
  • Ability to keep clear records (vendor contacts, invoices/receipts, warranty information) and communicate concise updates and recommendations.
  • Professional communication skills with the President, household stakeholders, and vendors; reliable follow-through.
  • High level of discretion, integrity, and respect for privacy and confidentiality.
  • Valid driver's license and reliable transportation.
Education and Experience:
  • High school diploma or GED required; trade school, vocational training, or equivalent hands-on experience preferred.
  • 3+ years of experience in residential property maintenance, facilities/groundskeeping, handyman work, or a similar role preferred.
  • Comfortable working independently on a private property and coordinating service providers; experience supporting private residences or estate operations (service calendars, vendor oversight, and seasonal planning) is a plus.
Physical Requirements:
  • Regularly performs physical work outdoors in varying weather conditions.
  • Must be able to stand, walk, bend, kneel, climb ladders, and use hand/power tools safely.
  • Must be able to lift up to 50 pounds.
Compensation is targeted at a $50 per hour contractor pay rate. This role will be engaged as an independent contractor (1099, not eligible for company benefits) and services will be paid directly by the President. Work is generally performed during weekday daytime hours, with flexibility based on property needs and contractor availability, including as-needed on-call support. The anticipated schedule will encompass approximately 30-40 hours per week on average. Contractor terms (including invoicing cadence and any pre-approved reimbursable expenses) will be discussed during the interview process. Pay:
