Director of Membership & Events Position Overview The Events & Membership Coordinator plays a key role in assisting in the planning, coordination, and execution of member experiences at the Club. This position supports all aspects of event operations, including food & beverage coordination, member communications, administrative management, and event logistics. The ideal candidate is a highly organized team player, service-focused, creative, and comfortable managing multiple projects in a fast-paced 1hospitality environment. This role requires strong interpersonal skills, attention to detail, and the ability to collaborate across departments to deliver exceptional member experiences. Schedule Five-day workweek with a combination of daytime, evening, weekend, and holiday hours based on Club programming and event schedules Typical administrative office hours are 9AM - 5PM Tuesday through Saturday with flexibility required during peak event periods Schedule may fluctuate seasonally based on Club events and member activities Key Responsibilities Event Coordination & Execution Assist in the planning, production, and execution of Club events, tournaments, member events, holiday programming, and private functions Coordinate event logistics including timelines, room setups, rentals, décor, entertainment, menus, signage, and vendor communication Create and distribute event function sheets and internal event documentation Collaborate with Food & Beverage, Culinary, Racquets, Aquatics, Skating, Junior Programs, and other departments to ensure seamless execution Provide on-site event support and maintain high service standards throughout events The eventuality of solo coordination of some smaller member events, meetings, and specialty dining experiences Administrative & Membership Support Support membership operations including inquiries, onboarding materials, database management, and member communications Maintain event calendars, reservations, and internal scheduling systems Prepare invoices, reports, banquet event orders, and billing documentation Respond professionally to member inquiries via phone, email, and in person Creation of event stationary suites including menu cards and invitations Technology & Systems Utilize Club management and event software platforms such as Jonas, Caterease, Social Tables, Canva, Microsoft Office, and Google Workspace Maintain accurate event records, guest counts, and reporting metrics Support digital organization of event files, templates, and operational documents Qualifications Bachelor's Degree preferred or equivalent hospitality/event experience 2+ years of experience in hospitality, events, private clubs, luxury service, or food & beverage operations preferred Exceptional organizational and multitasking skills Strong written and verbal communication abilities Professional, polished, and member-focused demeanor Ability to work efficiently in a fast-paced environment and adapt to changing priorities Experience with event management software systems preferred Creative eye for design, presentation, and guest experience a plus Preferred Skills Event planning and production Hospitality and luxury service standards Vendor coordination and logistics management Social media or digital communication familiarity Floor plan and seating layout experience Strong problem-solving and interpersonal skills Compensation & Benefits Competitive compensation based on experience Opportunities for professional growth within Club operations and hospitality management Benefits package available Why Join Our Team?
